Job Description

Northeast Neuropsychology and Advanced TelePsych are seeking a professional, organized, and customer-focused Patient Services Coordinator to join our growing behavioral health and neuropsychology practice. As the first point of contact for patients, families, providers, and referral sources, you will help create a welcoming and positive patient experience. In addition to front desk responsibilities, this role supports referral management, scheduling, medical records, patient communications, and other daily administrative functions. The ideal candidate is detail-oriented, dependable, and enjoys working in a fast-paced healthcare environment. Key ResponsibilitiesFront Office & Patient Experience Welcome patients and visitors in a professional and friendly manner. Check patients in for neuropsychological testing, therapy, and medication management appointments. Answer incoming phone calls and respond to voicemails, emails, text messages, and patient portal messages. Route patient inquiries to the appropriate provider or department. Assist patients with registration, intake paperwork, and patient portal access. Maintain a clean and organized reception area. Scheduling & Patient Administration Assist with appointment scheduling, confirmations, cancellations, and basic rescheduling. Receive, process, and track incoming referrals. Follow up on missing referral documentation when needed. Keep patients informed about referral status, scheduling, insurance review, and appointment readiness. Create new patient records and accurately enter demographic and insurance information in the electronic medical record (EMR). Medical Records Scan and upload patient documentation, including referrals, insurance cards, and completed forms. Process incoming and outgoing medical record requests in accordance with HIPAA requirements. Prepare and securely send authorized medical records and clinical documentation. Maintain accurate and organized electronic patient records. Administrative Support Monitor shared office email inboxes and route requests appropriately. Assist with insurance verification and other administrative tasks as needed. Monitor office supply inventory and notify leadership when replenishment is needed. Support daily office operations and perform other duties as assigned. QualificationsRequired High school diploma or equivalent. One or more years of experience in a medical office, healthcare administration, or customer service role. Excellent customer service and telephone skills. Strong organizational skills and attention to detail. Ability to multitask and prioritize work in a fast-paced environment. Proficiency with Microsoft Office, Google Workspace, and general computer applications. Ability to learn and effectively use electronic medical record (EMR) systems. Working knowledge of HIPAA and patient confidentiality requirements. Preferred Experience in behavioral health, psychology, neuropsychology, or another healthcare setting. Experience with insurance verification and referral management. Familiarity with medical terminology. Experience using EMR systems such as Azalea, Epic, Dr. Connect, or similar platforms . Experience with RingCentral , patient portals, and multi-line phone systems. Bilingual (English/Spanish) is a plus.
Compensation & Schedule Position:
Full-Time, Non-Exempt (Hourly) Schedule Monday-Friday 8:30 AM-5:00 PM Hybrid work environment (after successful training and based on business needs) Compensation $20.00-$24.00 per hour , based on experience.
