Leveraging decades of experience building platform businesses in the healthcare industry and collectively owned by member surgeons, private equity, and management consulting veterans, Allied OMS offers essential tools for maximizing practice value. Grounded in clinical excellence, doctors in the Allied OMS network maintain essential roles in management, governance, and clinical practice and participate directly in the platform's growth. Seventy-five percent of the Allied OMS board of directors are doctor members, and Allied OMS doctors lead 100% of the platform's management committees. Founded in 2020 in partnership with DuneGlass Capital, a healthcare services-focused independent sponsor, the Allied OMS network now includes 83 doctors serving patients from 49 locations in Arizona, California, Colorado, Illinois, Indiana, Louisiana, Maryland, Michigan, New York, Oregon, Tennessee, Texas, and Virginia. Position Summary The Patient Care Coordinator plays a key role in ensuring a positive and seamless experience for patients from their first point of contact through their treatment journey. This position combines customer service excellence, organizational skill, and administrative accuracy to manage scheduling, verify insurance, and support front office operations. The role requires professionalism, strong communication skills, and the ability to multitask in a fast-paced dental or medical practice environment.
Requirements:
Scheduling & Coordination Schedule, confirm, and manage patient appointments to ensure efficient provider schedules. Coordinate follow-up appointments and rescheduling as needed. Communicate clearly with patients about appointment requirements, preparation instructions, and timelines. Patient Communication & Support Serve as the first point of contact for patients, answering and directing high-volume calls in a professional manner. Provide accurate information regarding office policies, treatment expectations, insurance coverage, and wait times. Maintain a patient-focused approach, ensuring questions and concerns are addressed promptly. Insurance & Financial Processes Collect, review, and verify patient insurance information, including eligibility and plan benefits, before appointments. Communicate potential out-of-pocket costs and obtain necessary authorizations when applicable. Collaborate with billing or insurance coordinators to ensure claim accuracy. Administrative Duties Accurately perform data entry and maintain up-to-date patient records in the practice management system. Ensure all necessary patient documentation is completed, scanned, and stored in compliance with HIPAA regulations. Assist with general front office operations, including filing, faxing, and handling correspondence. Collaboration & Workflow Partner with clinical teams to coordinate patient flow and minimize wait times. Assist team members during peak hours to ensure smooth operations. Maintain a clean, organized, and welcoming front office environment. Qualifications Education & Experience High school diploma or equivalent required; associate's or bachelor's degree preferred. Minimum of 1 year experience in a dental, oral surgery, or medical office preferred. Familiarity with dental/medical terminology and insurance verification processes. Technical Skills Proficiency with practice management software (WinOMS, Dentrix, Eaglesoft, or similar). Competent in Microsoft Office Suite (Word, Excel, Outlook). Strong data entry accuracy and attention to detail. Soft Skills Excellent communication and customer service skills. Ability to multitask and prioritize in a high-paced environment. Team-oriented mindset with problem-solving abilities. Bilingual abilities are a plus.
