Office Assistant Nettie's Love & Care LLC | Gainesville, FL Nettie's Love & Care LLC is seeking a dependable, organized, professional, and people-focused Office Assistant to join our growing team. This position provides administrative and operational support while helping ensure our clients, caregivers, and applicants receive excellent service. The Office Assistant will play an important role in the day-to-day operations of the company, assisting with customer service, scheduling, staffing, recruiting, onboarding, documentation, and general office responsibilities . Key Responsibilities Office & Customer Service Answer phones, respond to emails, and assist clients, families, caregivers, applicants, and referral sources. Provide professional and friendly customer service. Document calls, messages, requests, and other communications accurately. Assist with client intake paperwork and service documentation. Maintain organized and confidential client and employee records. Scheduling & Staffing Assist with caregiver scheduling and filling open shifts. Communicate schedules and schedule changes to caregivers and clients. Assist with call-offs, staffing shortages, and emergency coverage. Maintain accurate employee availability and scheduling information. Help ensure clients have appropriate staffing coverage. Recruiting & Hiring Support Assist with posting job openings and reviewing applications. Contact applicants and schedule interviews. Assist with initial applicant screening and interview coordination. Help collect required employment documents. Assist with background screening and clearance tracking. Support new employee onboarding and orientation. Employee & Compliance Support Assist with tracking employee training, certifications, and required documentation. Maintain accurate employee files and compliance records. Assist with employee communication and training coordination. Report missing documentation or concerns to management. Maintain confidentiality and follow HIPAA and company policies. General Operations Assist management with daily administrative tasks and special projects. Prepare documents, reports, forms, and other materials as needed. Assist with office meetings, training sessions, and company activities. Help improve office organization, systems, and processes. Perform other duties as assigned to support the success of the company. Qualifications High School Diploma or equivalent required. Previous office, administrative, customer service, healthcare, home care, staffing, or recruiting experience preferred. Strong communication and organizational skills. Excellent attention to detail. Ability to multitask and prioritize responsibilities. Professional, dependable, and able to work independently. Comfortable communicating with clients, caregivers, applicants, and management. Computer proficient and able to learn new software and systems. Ability to maintain confidential information. Positive attitude and willingness to learn. Ideal Candidate The ideal candidate is someone who is organized, dependable, professional, caring, and proactive . You should be comfortable wearing different hats throughout the day and helping wherever needed to keep the office and care operations running smoothly. Pay:
