Position:
Medical Assistant As a Back Office Medical Assistant, you will play an important role in supporting our physicians and advanced practice providers while helping ensure smooth day-to-day clinical operations. You will work closely with providers, patients, pharmacies, laboratories, imaging facilities, and other healthcare organizations to coordinate patient care from start to finish. This position requires excellent organization, communication, follow-through, and the ability to manage multiple priorities in a busy gastroenterology practice.
Key Responsibilities:
Educate patients regarding preparation instructions for colonoscopies, endoscopies, and other GI procedures, ensuring patients understand and can appropriately follow their instructions. Respond to patient phone calls, EMR tasks, and portal messages regarding procedure preparation, symptoms, medications, test results, follow-up care, and other clinical concerns within the scope of the Medical Assistant role. Appropriately document patient communications and route clinical questions or concerns to the provider when necessary. Manage provider EMR task queues/inboxes and ensure patient-related tasks are addressed, documented, and followed through to completion. Coordinate laboratory testing, radiology, imaging, and other diagnostic services ordered by providers. Process prescription refill requests and communicate pharmacy or medication-related concerns to providers. Complete medication and service prior authorizations and assist with specialty medication coordination, including biologic medications for IBD patients. Monitor pathology, laboratory, and imaging results and appropriately route results to providers for review. Communicate provider-approved results, recommendations, and follow-up instructions to patients. Coordinate follow-up appointments, procedures, testing, and other provider-directed patient care. Obtain, review, upload, and appropriately route outside medical records, laboratory results, imaging reports, and other relevant clinical documentation. Maintain complete, accurate, and timely documentation within the EMR. Sonoran Gastroenterology currently utilizes gMed/gGastro . Review and manage provider schedules daily, assisting with cancellations, add-on patients, schedule changes, and other adjustments needed to maintain an efficient clinical workflow. Work collaboratively with physicians, advanced practice providers, fellow Medical Assistants, scheduling, front office staff, and management to resolve patient needs and maintain continuity of care. Provide coverage and assistance to other clinical team members as needed. Maintain patient confidentiality and comply with HIPAA requirements and all practice policies and procedures.
Skills & Qualifications:
Previous Medical Assistant experience preferred; gastroenterology or other specialty-practice experience is highly desirable. Strong organizational, prioritization, and time-management skills. Excellent attention to detail and follow-through. Ability to independently manage multiple patient and provider tasks while recognizing when an issue requires escalation. Ability to multitask effectively in a fast-paced medical environment. Strong verbal and written communication skills. Compassionate and service-oriented approach to patient care. Comfortable educating patients regarding procedures, medications, testing, and provider instructions. Knowledge of prescription refills, prior authorizations, insurance processes, and specialty medications preferred. Proficiency with electronic medical records and patient-management systems; gMed/gGastro experience preferred. Ability to maintain professionalism when handling sensitive patient concerns or difficult situations. Ability to work effectively as part of a team and assist outside of assigned responsibilities when needed.
