Job Description
Arizona Hearing & Balance Center | Chandler, AZ Full-Time | Monday-Friday Lead the Team. Improve the Practice. Elevate the Patient Experience. Arizona Hearing & Balance Center is seeking an experienced Medical Office Manager / Practice Manager to lead the daily operations of our busy specialty medical practice. This is a hands-on leadership position. We need someone who can develop employees, support our physicians, improve workflows, solve problems, embrace technology, and hold the team accountable while maintaining an exceptional patient experience. We are looking for a leader who doesn't simply identify problems—they help solve them. What You'll Be Responsible ForTeam Leadership & Employee Management Recruit, interview, hire, onboard, train, coach, evaluate, discipline, and manage front desk personnel, Medical Assistants, and Medical Scribes Cross-train staff to improve coverage and efficiency Establish clear expectations and accountability Delegate responsibilities based on patient volume and practice needs Help develop employees and identify opportunities for growth Step into operational roles when staffing or patient needs require it Review and approve employee timecards, attendance, PTO, and overtime Support the Head of Audiology with staffing and operational needs as requested Help create a professional environment built around teamwork, respect, communication, and excellent patient care Front Office & Patient Experience Oversee daily front-office operations Ensure accurate patient registration and insurance information Monitor scheduling and patient flow Oversee phones and patient communications Ensure referrals and authorizations are handled appropriately Oversee collection of patient balances at the time of service Manage petty cash Identify bottlenecks and implement solutions Maintain high standards for customer service and professionalism Surgical Scheduling & Coordination Oversee surgical scheduling and related workflows Ensure appropriate consents and pre-operative instructions are completed Monitor surgical authorizations and required documentation Ensure surgical lists and charts are prepared for physicians before OR days Coordinate with surgical facilities regarding necessary equipment, prostheses, consents, and other requirements Maintain clear communication with physician partners regarding their OR schedules Identify opportunities to improve and automate surgical scheduling workflows within eClinicalWorks Practice Administration Manage medical, clerical, cleaning, and office supplies Maintain inventory and regular ordering processes Oversee vendors and vendor files Coordinate office equipment, furniture, maintenance, and décor Ensure the office remains organized, professional, and patient-ready Manage incoming mail and other administrative responsibilities Coordinate physician credentialing with appropriate corporate resources Oversee continued scanning and organization of historical patient records as necessary Technology & eClinicalWorks Technology is a significant part of this position. Strong computer proficiency is required. The Office Manager should be comfortable becoming one of the practice's primary resources for eClinicalWorks (eCW) . Previous eClinicalWorks experience is strongly preferred and will be a significant advantage.
Responsibilities include:
Learn and understand eCW workflows throughout the practice Stay current on eCW updates and functionality Train and support staff on appropriate eCW use Identify opportunities to improve efficiency through technology Help troubleshoot basic technology and workflow issues Coordinate more complex issues with corporate IT Work comfortably across multiple programs and computer screens Help develop standardized electronic workflows Look for opportunities to reduce unnecessary manual processes and improve automation Technology is an essential part of running an efficient modern medical practice. Corporate, Billing & Compliance Coordination Develop strong working relationships with corporate IT, billing, compliance, and administrative teams Help ensure accurate patient information is collected for billing Identify and communicate recurring front-end billing problems Ensure patient records are organized and maintained appropriately Maintain HIPAA compliance Help ensure compliance with OSHA, employment requirements, and applicable state and federal regulations Reinforce practice policies and procedures with employees What We're Looking For Our ideal candidate has: Previous medical office or healthcare practice-management experience Direct employee-supervision experience Experience hiring, training, coaching, and addressing employee performance Strong computer proficiency Experience working with an EMR/practice-management system eClinicalWorks experience strongly preferred Knowledge of medical scheduling and front-office workflows Understanding of insurance verification and authorizations Experience with patient collections Experience working directly with physicians Excellent organizational and communication skills Strong problem-solving ability Confidence making decisions and holding employees accountable An understanding of HIPAA and healthcare compliance The ability to manage competing priorities without losing attention to detail Experience with ENT, otology/neurotology, audiology, surgical scheduling, or another specialty medical practice is especially valuable.
