DENTAL OFFICE MANAGER POSITION SUMMARY
Restoration Dental is seeking an experienced Dental Office Manager to lead the day-to-day operations of our growing practice. This is a true leadership role for someone who can create structure, develop a strong team, hold people accountable, anticipate problems before they escalate, and ensure the office operates at a high standard without constant owner involvement. The Office Manager serves as the operational leader of the practice and the connection between the doctors, clinical team, administrative team, and ownership. This person is responsible for ensuring the team is prepared, systems are followed, expectations are clear, and operational issues are addressed quickly and effectively. The ideal candidate is organized, proactive, confident, approachable, solution-oriented, and comfortable managing both people and practice performance.

KEY RESPONSIBILITIES
  • Lead and develop the team
  • Provide leadership for the administrative and clinical teams, establish clear expectations, reinforce accountability, coach employees, and help create a positive and high-performing culture
  • Manage staff performance and employee relations
  • Address performance concerns, provide feedback and coaching, help resolve team issues, participate in performance reviews, and manage difficult conversations professionally when needed
  • Own daily practice operations
  • Ensure the office is prepared, organized, appropriately staffed, and ready to provide excellent patient care each day
  • Manage staffing and coverage
  • Coordinate schedules, PTO, call-outs, coverage needs, and staffing challenges while identifying future hiring needs
  • Support recruiting, onboarding, and training
  • Participate in interviewing and hiring and ensure new employees receive structured onboarding, training, clear expectations, and appropriate follow-up
  • Create operational consistency
  • Ensure office policies, checklists, workflows, standard operating procedures, and training systems are consistently followed and improved when necessary
  • Review and protect the schedule
  • Proactively identify issues involving patient flow, provider time, cancellations, openings, staffing, treatment needs, lab cases, and incomplete preparation
  • Lead effective daily huddles
  • Establish priorities, identify challenges and opportunities, and ensure the team begins each day prepared and aligned
  • Support doctor efficiency
  • Ensure providers have the information, team preparation, materials, documentation, and support necessary to work efficiently
  • Monitor practice performance
  • Understand production, collections, scheduling, patient retention, unscheduled treatment, accounts receivable, and other key practice indicators and work with the team to improve performance
  • Oversee administrative systems
  • Maintain appropriate oversight of insurance processes, outstanding claims, patient balances, pre-estimates, collections, treatment follow-up, and patient communication
  • Manage patient concerns
  • Address service issues and difficult patient situations professionally while protecting both the patient relationship and practice standards
  • Solve recurring problems
  • Identify the root cause of operational breakdowns and implement systems that prevent the same issues from repeatedly occurring
  • Maintain compliance and practice standards
  • Help ensure appropriate systems and training are maintained for HIPAA, OSHA, employment policies, safety protocols, and other applicable practice requirements
  • Partner with ownership on practice growth
  • Communicate performance concerns, staffing needs, operational opportunities, and recommended solutions while helping implement practice improvement initiatives
  • Protect doctor and owner time
  • Independently resolve appropriate operational issues and escalate matters to leadership with the necessary information and potential solutions

You are comfortable balancing the needs of patients, employees, doctors, and the business while maintaining high standards. You communicate clearly, address issues directly and professionally, and follow through until problems are fully resolved. You are not someone who simply delegates a task and assumes it was completed. You create accountability, verify follow-through, and take ownership of the final outcome.
QUALIFICATIONS
  • Prior dental experience preferred, but not required
  • Prior office management, practice management, team leadership, or senior administrative leadership experience strongly preferred
  • Demonstrated experience supervising, coaching, training, or managing employee performance
  • Experience managing day-to-day operations, staffing, scheduling, systems, and team accountability
  • Experience in dental, medical, healthcare, hospitality, or another fast-paced service environment preferred
  • Strong leadership, communication, conflict-resolution, and problem-solving skills
  • Highly organized with strong attention to detail and follow-through
  • Comfortable addressing performance concerns and having difficult conversations when necessary
  • Able to manage multiple priorities and make sound decisions in a fast-paced environment
  • Proactive and able to anticipate needs rather than waiting for problems to occur
  • Strong computer, written communication, and administrative skills
  • Experience working with business performance metrics, budgets, collections, revenue goals, or operational KPIs preferred
  • Knowledge of dental scheduling, insurance, treatment planning, collections, or compliance is a plus and can be trained for the right candidate
