Office Manager & Cottage Liaison Julep Farms | Dillard, Georgia Full-Time / Part-Time | On-Site Position Overview Julep Farms is seeking a highly organized, energetic, and guest-focused Office Manager & Cottage Liaison to oversee cottage reservations and guest communications while supporting the day-to-day administrative and financial operations of our farm resort. This is a fast-paced, hands-on position for someone who can move seamlessly between answering a guest inquiry, preparing a cottage for arrival, processing an invoice, coordinating with housekeeping, and jumping in wherever needed. We are looking for someone who is proactive, resourceful, technologically confident, detail-oriented, and self-sufficient . You should be comfortable working independently, thinking on your feet, managing multiple priorities, and taking ownership of tasks without needing constant direction.

And one important note:

this is a working farm. While much of the position is administrative, there will be days when you are walking the property, carrying supplies, helping with laundry, taking trash from cottages, running errands, or getting your hands dirty. What We're Looking For The ideal candidate will have: Strong computer and technology skills, including email, Google Drive, Google Docs, Google Sheets, cottage booking platforms, Stripe, and QuickBooks The ability to learn new software and systems quickly Exceptional organization and attention to detail Excellent written and verbal communication skills Strong customer service instincts and the patience and professionalism to handle difficult guests or unexpected situations The ability to multitask and shift priorities throughout the day A proactive mindset—you see what needs to be done and take care of it Confidence working independently with limited supervision A strong sense of urgency and willingness to hustle when necessary The physical ability to stand, walk throughout the property, lift up to 50 lbs., and perform hands-on tasks Cottage Reservations & Guest Experience You will serve as a primary point of contact for prospective and current cottage guests.

Responsibilities include:

Answering phone calls, emails, and cottage inquiries promptly and professionally Developing a thorough understanding of each Julep Farms cottage, including layouts, amenities, features, seasonal pricing, weekday/weekend rates, and promotions Helping prospective guests select the cottage that best fits their stay and confidently converting inquiries into bookings Preparing and sending quotes, booking cottages, processing payments, and following up with prospective guests Communicating promotions, packages, policies, and other relevant information Assisting guests before, during, and after their stay Handling guest concerns with patience, professionalism, and good judgment Cottage Operations & Housekeeping Coordination Coordinate closely with the housekeeping team regarding arrivals, departures, cleans, and special requests Perform a walkthrough of cottages following each cleaning to ensure they meet Julep Farms standards Place welcome cards and final guest-arrival touches in cottages Track completed cottage cleans for housekeeping payroll Maintain accurate inventory of cottage supplies and guest amenities Assist housekeeping with laundry during busy periods when necessary Keep the laundry room clean, stocked, and organized Deliver replacement or missing supplies to occupied cottages Pick up full trash bags from cottages and provide guests with replacement bags when needed Coordinate and, when necessary, assist with mid-stay cleans for longer reservations Document guest or cottage damages reported by housekeeping and process appropriate charges Cottage inventory includes items such as soaps, shampoo and conditioner, towels, bedding, bottled water, toilet paper, washcloths, trash bags, coffee supplies, creamers, stirrers, note cards, envelopes, and other guest amenities. Office Administration This position also provides administrative support across Julep Farms operations.

Responsibilities include:

Answering the main phone line and routing calls to the appropriate department Taking accurate messages for ownership and management Assisting with calls and inquiries for the Events Coordinator Retrieving and distributing incoming mail Photographing and notifying the Operations Director of important packages or correspondence Processing retail returns Organizing and filing kitchen invoices, vendor paperwork, check stubs, and other business documents Maintaining new-hire paperwork and assisting new employees with onboarding documentation Coordinating completed onboarding paperwork with payroll administration Maintaining employee separation paperwork and communicating with management regarding new hires and departing employees Packaging, mailing, laminating, filing, copying, and assisting managers with administrative projects Running local business errands as needed Assisting in the Julep Farms Market when needed, including retail, barista, or host duties Helping maintain clean, organized barn and office spaces Performing weekly basic office upkeep, including trash removal, dusting, vacuuming, mopping, and windows Financial & Bookkeeping Responsibilities Candidates should be comfortable working with basic bookkeeping and financial administration, including: Entering and paying approved invoices through QuickBooks Maintaining accurate vendor information and records Creating and sending customer invoices Processing customer payments Submitting and reconciling expense reports Maintaining organized financial documentation Generating financial and operational reports as requested Assisting management with other bookkeeping and financial administrative tasks

Schedule Typical Hours:

9:00 AM-5:00 PM Because Julep Farms is a hospitality business, flexibility may occasionally be required during busy periods, holidays, events, and high-occupancy weekends. This is an on-site position and is not eligible for remote work. This Position Is Ideal for Someone Who Is Dependable — You show up, follow through, and can be counted on. People-oriented — You genuinely enjoy helping guests and working with a team. Adaptable — Changing priorities don't throw you off. You can pivot quickly and keep moving. Detail-oriented — You notice the little things before a guest or manager has to point them out. Independent — You are comfortable making decisions and completing work without constant supervision. Proactive — You don't wait to be told about every task. If something needs attention, you take ownership of it. Resourceful — When something unexpected happens, your first instinct is to figure out a solution. High-energy — You are comfortable working in a fast-paced environment where no two days are exactly the same. Hospitality-minded — You understand that creating an exceptional guest experience often means doing things that aren't technically "your job."

Qualifications Required:

Minimum 2 years of administrative experience Minimum 1 year of QuickBooks experience Strong computer and technology skills Excellent written and verbal communication Excellent organizational and time-management skills Ability to lift up to 50 lbs. Ability to walk and work throughout an active farm property Reliable transportation for local errands A college degree is not required .

Pay:
