We are looking for a dependable, organized, and proactive Office Manager to support the growth of our Functional Medicine and Physical Therapy practice. This role is ideal for someone who takes ownership of their work, and enjoys creating an organized, welcoming experience for patients. You are confident, resourceful, compassionate, and comfortable making decisions while keeping priorities moving forward. Medical office experience is preferred. Experience in marketing, business development, physical therapy, holistic wellness, or a related field is also a plus. This is a part time position located in Eagle for 20-25 hours a week. Work days are Tuesday and Thursday 9am-6pm and Friday can be somewhat flexible. Pay will be dependent on experience. Responsibilities and hours have the ability to grow as the business does. Office Manager Primary Responsibilities Reception & Patient Care check patients in/out, schedule appointments collect payments and ensure timely remittance upload, organize and check documents for compliance, upload health documentation and functional tests from outside platforms onboard new clients and assist with questions about their programs and how to access portals and other information assist clients with questions about services and products such as supplements and essential oils Office Management answer phones & manage business email inbox oversee orders, procure office supplies and assist in maintaining office organization and cleanliness assist other in-office practitioners with questions, schedule management, patient info, etc oversee the virtual assistant communicate with independent contractors, vendors and manage side projects Marketing make website updates (Wix) attend networking events create/order collateral, flyers, online ads, take B roll footage to be used for social media Office Manager Requirements Experience in business or office management Experience in the medical field, holistic wellness, physical therapy or related field preferred Strong tech savvy including experience with Mac and PC, social media, Wix or similar websites, etc. Transportation to/from work and for occasional work errands The ideal candidate is: Dependable, organized, and detail-oriented A self-starter who stays on task and remembers what needs to be done Strong at prioritizing and managing multiple responsibilities Confident, assertive, and decisive when appropriate Comfortable enforcing office policies, including collecting payments and charging for missed appointments or no-shows Proactive about following up with patients, vendors, contractors, and the practice owner Able to handle competing priorities without becoming easily overwhelmed Comfortable taking feedback and applying it constructively Willing to share ideas and contribute to improving the practice Skilled at building genuine relationships with patients so they feel known and cared for—not like they are simply a number A strong communicator who can clearly communicate what needs attention by the practice owner Serious about the role and ready to be productive when arriving at work A successful person in this role will keep systems orderly, maintain supplies and documents where they belong, find information quickly, and use resourcefulness and good judgment to solve problems independently.
