Monday-Thursday, with occasional Fridays About Forever Smiles Implant Center Forever Smiles Implant Center is a specialized dental implant practice in Jacksonville focused on full-mouth and full-arch implant treatment, including All-on-4 and complex implant reconstruction. We provide patients with a highly coordinated experience that brings surgical care, restorative dentistry, anesthesia, digital technology, and laboratory services together under one team. Many of our patients come to us after years of failing teeth, extensive dental work, or unsuccessful previous treatment, and our goal is to give them a predictable path toward fixed teeth, improved function, and renewed confidence. We are a growing, privately owned specialty practice with a strong focus on organization, accountability, patient experience, and exceptional clinical care. The Role We are looking for a highly organized and dependable Office Administrator to take ownership of the day-to-day administrative operations of the practice. This is not simply a receptionist position. The Office Administrator is responsible for helping keep the entire office running smoothly—making sure schedules are organized, patients are prepared, administrative tasks are completed, information is accurately entered into our systems, and important details do not fall through the cracks. The right person is proactive, extremely organized, comfortable managing multiple priorities, and naturally follows tasks through to completion without needing constant reminders. Key Responsibilities Manage and oversee daily front-office operations Maintain an organized and productive patient schedule Coordinate patient confirmations, pre-operative communication, post-operative follow-up, and administrative handoffs Review upcoming schedules to identify missing forms, medical information, payments, imaging, or other requirements before the patient's appointment Maintain accurate patient information in our practice management system and CRM Ensure phone calls, messages, emails, and patient requests are responded to and properly documented Coordinate closely with treatment coordinators, surgical assistants, doctors, anesthesia providers, and laboratory team members Support patient financial processes, payment collection, financing documentation, and account follow-up Assist with insurance verification, claims documentation, and administrative insurance workflows as needed Maintain daily administrative checklists and ensure required tasks are completed Prepare and maintain office reports, tracking spreadsheets, and operational documentation Monitor patient scheduling, cancellations, no-shows, and outstanding follow-up Maintain office supplies and ensure patient-facing areas remain organized, stocked, and professional Help identify workflow problems and implement better systems and processes Ensure administrative standards and office procedures are consistently followed Serve as a reliable point of coordination between the clinical and administrative sides of the practice What We Are Looking For Prior experience in dental front office is required Dental front-office, treatment coordination, or practice-management experience is a plus Exceptional organization and attention to detail Strong sense of ownership and accountability Excellent follow-through—you finish what you start Ability to anticipate problems rather than simply react to them Comfortable managing multiple priorities in a fast-paced environment Professional and confident communication with patients and team members Comfortable having financial conversations with patients when necessary Strong computer skills and ability to learn practice-management software, CRM systems, spreadsheets, and other technology Able to work independently while also coordinating closely with a team Positive, professional, calm, and solutions-oriented The Person Who Will Succeed Here You will likely thrive in this position if you are the person who naturally notices when something is missing, creates a system to fix it, and follows through until it is resolved. Pay:
