Job Description

PI and Referral Operations Coordinator We are an outpatient diagnostic imaging center serving patients, attorneys, medical practices, referral networks, and Workers' Compensation partners throughout Metro Atlanta. We are seeking an organized and proactive PI and Referral Operations Coordinator to manage the operational workflow for personal-injury, attorney, One Call, Workers' Compensation, insurance, and other external referrals. This position is responsible for referral tracking, attorney and referral-partner communication, LOP documentation coordination, authorization follow-up, appointment coordination, and preparing completed cases for handoff to the billing department. This is not a medical billing position. The role works closely with our biller, but billing, claims, denials, payments, and collections remain with the billing department. Spanish-speaking ability is strongly preferred but not required. What you will do
  • Receive and track personal-injury, attorney, One Call, Workers' Compensation, insurance, and other external referrals
  • Maintain an accurate referral tracker with case status, missing information, next action, owner, and follow-up date
  • Communicate professionally with attorneys, law offices, clinics, referral coordinators, case managers, and network partners
  • Confirm that referrals include the required patient, study, order, diagnosis, authorization, and contact information
  • Track Letters of Protection and related documentation
  • Request missing LOP documents and route completed packets for management review
  • Track whether an LOP has been approved, is pending, needs revision, or has been declined
  • Coordinate with the Patient Access and Imaging Coordinator to schedule patients once the referral is ready
  • Track prior authorization status when authorization is required
  • Follow up with referring offices, attorneys, payers, and referral partners regarding missing or delayed information
  • Track Workers' Compensation information such as claim details, employer information, adjuster information, and authorization status
  • Coordinate One Call and other referral-network workflows
  • Monitor open referrals and identify cases that have stalled
  • Provide appointment and referral-status updates to authorized referral sources
  • Confirm when studies have been completed
  • Assemble complete front-end information for the billing department
  • Route completed cases to the biller with the appropriate order, diagnosis, authorization, LOP, referral, and payer information
  • Track cases that are waiting for billing handoff or additional documentation
  • Maintain organized email records, referral notes, and case documentation
  • Prepare referral-status and aging reports for management
  • Escalate legal, financial, clinical, or payer exceptions to the appropriate person
  • Protect patient privacy and follow HIPAA and Georgia Health Imaging procedures What this role does not own This position coordinates the referral and documentation workflow but does not independently:
  • Approve or negotiate Letters of Protection
  • Change legal or financial terms
  • Provide legal advice
  • Negotiate referral contracts or reimbursement rates
  • Submit or correct claims
  • Perform medical coding
  • Manage denials
  • Post payments or ERAs
  • Handle collections
  • Approve discounts or write-offs
  • Make clinical decisions
  • Determine MRI protocols or contrast requirements
  • Provide clinical interpretations
  • Administer PACS, VPN, DICOM, or network systems The coordinator is responsible for making sure the case is organized, documented, tracked, and routed to the appropriate decision-maker. Required qualifications
  • Previous experience in healthcare referral coordination, medical office administration, personal-injury healthcare, Workers' Compensation, case management, medical records, or a related field
  • Strong written and verbal communication skills
  • Excellent organization and attention to detail
  • Ability to manage multiple active cases with different deadlines
  • Strong follow-up skills and the ability to close the loop on open tasks
  • Professional communication with attorneys, medical offices, patients, and referral partners
  • Comfort working with email, spreadsheets, referral trackers, and web-based systems
  • Ability to maintain confidential patient and legal-related information
  • Ability to identify missing information and escalate issues appropriately
  • Reliable attendance and consistent follow-through Preferred qualifications
  • Experience coordinating personal-injury referrals
  • Experience with Letters of Protection or lien-based medical workflows
  • Experience working with attorneys or law offices
  • Experience with One Call, Workers' Compensation, Scan.com, AIC, or other medical referral networks
  • Experience tracking prior authorizations
  • Experience in radiology, orthopedics, pain management, chiropractic, or outpatient imaging
  • PracticeSuite, EHR, EMR, or medical practice-management experience
  • Experience with referral portals or patient scheduling platforms
  • Familiarity with MRI, CT, ultrasound, or diagnostic imaging workflows
  • Spanish-speaking ability
  • Medical administrative, case-management, or healthcare coordination training The ideal candidate The right person is highly organized, persistent, professional, and comfortable working with multiple outside parties.
You can maintain a detailed case tracker, identify what is missing, communicate clearly about next steps, and follow a referral until it is scheduled, completed, and properly handed off. You understand the difference between coordinating a legal or financial document and approving it. You are comfortable escalating exceptions rather than making unauthorized promises to patients, attorneys, or referral partners. Success in this role looks like
  • New referrals are acknowledged and entered promptly
  • Every active case has a clear current status and next action
  • Missing documents are identified and followed up on
  • LOP and referral documentation is organized
  • Patients are scheduled once the case is ready
  • Attorneys and referral partners receive clear, timely updates
  • Completed studies are handed off to billing with accurate information
  • Stalled referrals are identified before they are lost
  • No referral disappears because it was not tracked
  • Legal, clinical, billing, and technical issues are routed to the correct owner
