Patient Care Coordinator Location:
Central Family Care & Weightloss Clinic We are looking for a friendly, dependable, organized, and motivated Medical Receptionist to join our growing healthcare team. This position is much more than answering phones and scheduling appointments. We are looking for someone who takes initiative, enjoys helping patients, is comfortable discussing our services and products, and can support the physician, medical assistant, and Office Manager to keep the office running efficiently. The ideal candidate is a quick thinker, works well under pressure, has excellent communication skills, and enjoys being part of a team. Every patient should receive outstanding customer service from the moment they walk through our doors until they leave. Polish speaking is a plus, but it is not required. Responsibilities Welcome patients and visitors with a warm, friendly, and professional attitude. Answer incoming phone calls, respond to patient inquiries, and schedule, reschedule, and confirm appointments. Check patients in and out while providing an exceptional patient experience. Verify insurance eligibility and benefits before appointments. Enter and update patient demographics and insurance information accurately in the electronic health record system. Scan insurance cards, identification, referrals, and other patient documentation into patient charts. Assist patients with insurance related questions and communicate with insurance companies when needed. Obtain referrals and prior authorizations when required. Maintain accurate and organized patient records while ensuring HIPAA compliance. Review patient charts before and after appointments to ensure documentation is complete. Go back through previous patient charts to locate important information and help support the physician, medical assistant, and Office Manager. Stay informed about every patient who walks into and leaves the office to ensure smooth communication between all staff members. Help maintain an efficient patient flow throughout the day. Use strong critical thinking and problem solving skills to handle scheduling conflicts, patient concerns, insurance issues, and other day to day situations. Take initiative to assist the Office Manager, Medical Assistant, and physician whenever needed. Educate patients on services, memberships, supplements, wellness programs, and products offered by the practice. Help recommend products and services that best fit each patient's needs in a professional, educational, and patient focused manner. Assist with administrative duties including answering phones, scanning documents, filing, and maintaining office organization. Maintain professionalism, confidentiality, and outstanding customer service at all times. Qualifications Previous experience working at the front desk of a medical office is preferred. Previous experience with medical insurance verification, entering insurance information, and patient registration is preferred. Experience using electronic health record systems, especially Practice Fusion, is a plus. Knowledge of commercial insurance plans, Medicare, Medicaid, referrals, and prior authorizations is a plus. Previous customer service and sales experience is highly preferred. Comfortable educating patients about products, supplements, memberships, wellness programs, and treatment packages. Strong critical thinking and problem solving skills. Excellent communication and interpersonal skills. Strong organizational skills with the ability to multitask in a fast paced environment. High attention to detail and accuracy. Ability to work independently while also being a team player. Willingness to learn and take on additional responsibilities as the practice continues to grow.
