Front Office Coordinator

Confident Kids Pediatric Dentistry is building an exceptional team for our brand-new, state-of-the-art pediatric dental office in Oak Ridge, NC , and we're looking for an experienced Front Office Coordinator who wants more than just a job. About Us We're launching a beautiful new pediatric dental practice designed around an exceptional experience for our patients, families, and team. The Role The Front Office Coordinator is a key part of creating an outstanding patient experience while keeping the front office organized and running efficiently.
You will be responsible for:
Welcoming children, parents, and families with warmth and professionalism Answering phones, responding to questions, routing calls, and taking messages Scheduling, confirming, adjusting, and rescheduling appointments Managing the schedule to promote excellent patient flow and productive use of doctor and team time Registering new patients and maintaining accurate patient information Verifying insurance eligibility and benefits Preparing and submitting dental insurance claims Understanding dental insurance codes, benefits, billing, and collections Communicating financial information and payment options clearly and compassionately Collecting and accurately posting patient payments Following up with patients regarding treatment, appointments, and hygiene recall Monitoring the schedule for openings and opportunities to improve productivity Coordinating patient flow between the front desk and clinical team Preparing charts and information for the clinical team Participating in daily team huddles and communicating scheduling or patient-flow concerns Helping resolve patient concerns with professionalism, empathy, and good judgment Maintaining organized front-office systems and a clean, welcoming reception area Supporting teammates in other areas of the practice when needed Contributing ideas that improve patient care, communication, and office efficiency Performing other duties that support the success of the practice What We're Looking For Our ideal candidate: Has at least 1 year of dental front-office experience Has experience with dental insurance, billing, claims, eligibility, and collections Understands dental terminology and insurance codes Has excellent customer service and communication skills Enjoys working with children and families Is organized and able to manage multiple priorities Can remain calm and professional in a busy environment Takes initiative and enjoys solving problems Is dependable, honest, compassionate, and helpful Works well as part of a team Pays attention to detail and follows through Is comfortable learning new technology and systems Is receptive to feedback and committed to continuous improvement Is willing to jump in and help wherever needed Spanish-Language Skills Spanish-English bilingual communication skills are strongly preferred, but not required. The ability to communicate effectively with Spanish-speaking patients and families is valuable in this patient-facing position and can help us provide an exceptional experience to the families we serve. Candidates will be considered based on their qualifications, experience, communication skills, and ability to successfully perform the responsibilities of the position. High school diploma or equivalent Minimum of 1 year of dental office/front-office experience Experience with dental insurance, billing, claims, and eligibility Strong computer and communication skills Ability to work effectively in a fast-paced environment Commitment to patient confidentiality and professionalism
Preferred:
Pediatric dental experience Spanish-English bilingual communication skills Experience with Curve Dental or another dental practice management system Experience with Medicaid and commercial dental insurance Experience with dental scheduling and recall systems BLS/First Aid certification Physical & Work Environment This is an active front-office position and may require sitting, standing, walking, bending, reaching, and other movement throughout the day. The position may occasionally require lifting up to 25 pounds. The environment can be busy and fast-paced, and the ability to remain calm, organized, and professional is important.
