Overview Join our dynamic team as a Non-Emergency Medical Transportation (NEMT) Secretary/Dispatcher, where your organizational skills and communication expertise will drive the smooth operation of non-emergency medical transportation services. In this vital role, you will coordinate patient appointments, manage transportation schedules, and ensure timely, safe, and efficient rides for individuals requiring medical assistance. Your proactive approach and attention to detail will help improve patient experiences and support healthcare providers' logistical needs. Duties Coordinate transportation requests by scheduling rides using vehicle dispatch software and transportation management systems, ensuring optimal routing and timely pickups. Communicate effectively with patients, drivers, healthcare facilities, and internal teams via multi-line phone systems and internal communication channels to confirm appointments and resolve scheduling issues. Manage incoming calls with professionalism, demonstrating excellent phone etiquette while gathering necessary information for ride assignments. Enter accurate data into databases and transportation management systems, maintaining detailed records of trips, driver logs, and patient information in compliance with DOT (Department of Transportation) regulations. Monitor GPS and GIS (Geographic Information Systems) tools to track vehicle locations, optimize routes, and enhance road transportation operations efficiency. Oversee fleet management tasks such as vehicle dispatching, freight coordination, shipping & receiving logistics, and vehicle maintenance scheduling to ensure fleet readiness. Collaborate with team members to analyze operational data for continuous improvement in transportation planning and logistics processes. Requirements Proven experience in transportation planning, logistics, or dispatching within a healthcare or road transportation operations environment. Strong proficiency in Microsoft Office applications (Word, Excel, Outlook) along with familiarity with Oracle Transportation Management or similar transportation management systems. Knowledge of vehicle dispatch software and fleet management tools to coordinate efficient routing and resource allocation. Excellent organizational skills with the ability to prioritize multiple tasks in a fast-paced setting while maintaining accuracy through data entry and record keeping. Exceptional communication skills—both verbal and written—with a focus on customer service excellence and professional phone call management. Ability to work effectively with multi-line phone systems, internal teams, drivers, healthcare providers, and patients to facilitate seamless operations. Understanding of DOT regulations related to road transportation operations to ensure compliance at all times. Analysis skills for evaluating routing efficiency, driver performance, and logistical workflows to support continuous process improvements.
