Job Description

Busy medical practice in Weatherford, Oklahoma area looking for Medical Office Receptionist to serve as the first point of contact for patients and visitors, manage front desk operations, schedule appointments, verify patient insurance coverage, and obtain prior authorizations as necessary for office visits. This is an on-site position; not remote.
Key Responsibilities:
Greet and welcome patients, visitors, and vendors in a courteous and professional manner. Answer incoming calls, direct calls to appropriate staff, and manage a multi-line phone system. Manage patient check-in and check-out processes, ensuring accurate collection and entry of patient information. Handle patient inquiries, provide information about services, and assist with resolving any concerns. Schedule and confirm patient appointments, follow-up visits, and any required tests or procedures. Manage cancellations, rescheduling, and ensure appointments are filled efficiently. Prepare daily schedules and communicate any changes to the relevant staff. Verify patient insurance coverage for visits, ensuring that all required information is accurate and up-to-date. Communicate with insurance companies to clarify coverage details, resolve discrepancies, and ensure timely approval of services. Maintain detailed records of insurance verification and authorization processes for each patient, including requesting and obtaining authorization for patient office visits. Maintain accurate and up-to-date patient records, ensuring confidentiality and compliance with HIPAA regulations. Prepare and organize patient charts for upcoming appointments. Assist with the transfer of medical records to other healthcare providers as needed. Collect patient co-pays, payments, and provide receipts. Assist with billing inquiries and provide information on insurance coverage and out-of-pocket expenses. Serve as a liaison between patients and medical staff, conveying messages and ensuring prompt follow-up on patient needs. Coordinate with oncology nurses, lab technicians, and other healthcare providers to ensure seamless patient care. Assist in coordinating patient transportation, if necessary. Ensure the reception area is clean and organized. Assist with special projects or tasks as assigned by office management. Provide administrative support to healthcare providers as needed.
Qualifications:
High school diploma or equivalent; additional education or certification in healthcare administration is a plus. Previous or healthcare setting, preferably in oncology or a related field. Strong communication and interpersonal skills, with a focus on patient care and empathy. Proficiency in using electronic health records (EHR) systems and medical office software. Experience with insurance verification and obtaining prior authorizations. Ability to multitask, prioritize, and work in a fast-paced environment.
