Job Overview:
As a receptionist at Highlander Dermatology, you will be the first point of contact for our patients, playing an essential role in ensuring smooth clinic operations. You'll assist with scheduling, check-in and check-out, patient communications, and payments, while maintaining an exceptional level of service for both medical and cosmetic patients. We're looking for someone who is compassionate, organized, and thrives in a fast-paced medical office setting.
Key Responsibilities:
Scheduling & Patient Management:
Schedule appointments for medical dermatology, cosmetic procedures, and MOHS surgery. Coordinate pre-and post-operative appointments for MOHS patients. Manage accurate patient check-in and check-out processes. Collect and process payments for services and skincare products. Coordinate follow-up visits, biopsies, and referrals as needed.
Customer Service:
Greet patients warmly and ensure a positive, professional experience from start to finish. Schedule, cancel, and reschedule patient appointments, optimizing the provider's daily calendar. Answer multi-line phones, route calls to appropriate clinical staff, and take detailed, accurate messages. Check in patients efficiently, ensuring all demographic and contact information is complete and accurate in the electronic health record (EHR) system. Collect copays and patient balances at the time of service, accurately processing cash, check, and credit card payments. Manage the waiting area flow, keeping patients informed of any scheduling delays or wait times
Product Knowledge & Patient Support:
Stay informed about our cosmetic treatments, procedures, and skincare lines. Educate patients on available services, products, and post-treatment care. Support product sales and maintain organized inventory.
Administrative Support:
Maintain accurate, HIPAA-compliant patient records. Support medical assistants, providers, and Mohs staff with administrative tasks as needed. Help with filing, scanning, and maintaining organized office operations. Work on projects as assigned
Qualifications:
Clinical or Hospital front desk/intake experience preferred Excellent communication skills and a professional, patient-focused demeanor. Highly organized and comfortable managing multiple priorities. Ability to handle payments accurately and maintain patient confidentiality. Interest in dermatology, skincare, and patient care.
