POSITION SUMMARY
The Office Assistant/CNA provides administrative support to the daily operations of the home health agency while also assisting with client care and caregiver coverage when needed. This position requires professionalism, confidentiality, dependability, strong communication skills, and the ability to work effectively with clients, caregivers, families, and office staff. The employee must be able to transition between office responsibilities and direct client care based on agency needs.
OFFICE & ADMINISTRATIVE DUTIES
The Office Assistant/CNA is responsible for: Answering and directing incoming telephone calls. Communicating professionally with clients, caregivers, families, and referral sources. Assisting with caregiver scheduling and open-shift coverage. Contacting caregivers regarding late arrivals, call-outs, missed shifts, and scheduling changes. Monitoring caregiver clock-ins and clock-outs through HHAeXchange/EVV. Following up on incomplete or missed EVV visits. Reviewing timesheets and summary reports for completeness. Maintaining organized employee and client files. Assisting with collection and tracking of employee credentials, including CPR, HIV/AIDS, Alzheimer's training, CNA licenses, identification, and other required documents. Assisting with new-hire paperwork and orientation. Making routine client satisfaction/check-in calls. Assisting with scheduling supervisory visits, assessments, and other required appointments. Checking and distributing emails, faxes, and other office communications. Documenting caregiver call-outs, complaints, incidents, and scheduling concerns and immediately reporting significant issues to the Administrator. Maintaining confidentiality of client and employee information. Performing general filing, scanning, copying, data entry, and other administrative duties. Keeping the office and work area professional, clean, and organized. Completing other administrative assignments as directed by the Administrator.
CNA / CLIENT CARE DUTIES
When assigned to client care, duties may include: Assisting clients with bathing, grooming, dressing, toileting, and other activities of daily living. Providing personal care according to the client's plan of care. Assisting with mobility, transfers, and ambulation within the employee's training and assigned duties. Providing light housekeeping related to the client's needs. Preparing or assisting with simple meals. Providing companionship and supervision. Providing medication reminders when permitted and assigned. Observing and reporting changes in the client's condition. Following infection-control and universal-precaution procedures. Maintaining client safety and following fall-prevention precautions. Completing required documentation accurately and on time. Clocking in and out through the agency's required EVV system. Reporting incidents, injuries, hospitalizations, emergencies, or significant changes immediately to the office.

The Office Assistant/CNA must: Report to work on time and maintain dependable attendance. Maintain a professional appearance and attitude. Communicate respectfully with clients, caregivers, families, and coworkers. Protect confidential client and employee information. Avoid discussing personal or confidential business with clients. Follow agency policies, procedures, and chain of command. Use agency computers, phones, internet access, and office equipment for authorized business purposes. Remain productive during scheduled work hours. Obtain approval before leaving the office or assigned client during scheduled working hours. Immediately notify management of concerns involving client safety, suspected abuse, neglect, exploitation, or other reportable incidents.
MINIMUM QUALIFICATIONS
Applicant should have: High school diploma or GED. Current Florida CNA certification, when required for the position. Current CPR certification. Required HIV/AIDS and Alzheimer's/dementia training. Valid government-issued photo identification. Reliable transportation. Ability to use computers, email, telephone systems, scanners, and basic office software. Strong written and verbal communication skills. Ability to maintain confidential records. Ability to multitask and work independently. Experience in home health, healthcare administration, scheduling, or caregiving is preferred.
PHYSICAL REQUIREMENTS
The employee must be able to perform the physical functions required for assigned office and client-care duties, which may include standing, walking, bending, reaching, assisting clients with mobility, and performing other activities consistent with the employee's training and assigned responsibilities.
