•This position may be assigned to either Mesa, Gilbert, or Queen Creek.
MEDICAL ADMINISTRATIVE ASSISTANT ESSENTIAL DUTIES AND RESPONSIBILITIES 1.
Greet caller with opening statement including proper introduction and welcoming manner. 2. Answer multi-phone line system and direct phone calls to appropriate department. 3. Review after hours on-call schedule to ensure all calls have been advised and documented per protocol. 4. Greet patients when they arrive at the office and provide them with necessary paperwork or other requested information. 5. Follow CVAM's Policy and Procedure for Patient Check In measures, to include proper patient identification, demographic, insurance and referral verification. 6.
Confirm that CVAM forms:
HIPAA, Demographics, Financial Policy, Medical Record Request, and Release of Information upload from clearwave to Athena. 7. Ensure referral verification, insurance eligibility, authorization approval, and explanation of benefits, prior to checking patients in. 8. Follow CVAM's policy for co-pay collection, co-insurance, and any outstanding patient balance prior to checking patient in for their scheduled appointment. Provide explanation of benefits as needed. Arrange for payment arrangements as necessary. 9. Collaborate with ERA team for prior authorizations, eligibility, referrals, and any patient concerns as they arise. 10. Post collected payments accurately to the CVAM batch. 11. Complete deposits at end of day. 12. Review patients' plan of care and schedule according to physician orders. 13. Follow proper order verification to include correct patient, correct order, time frames and any special requirements. 14. Schedule appointments and educate patients on pre and post testing preparation. 15. Identify patient needs to include; transport arrangement, interpreting service and scheduling with medical facility or interpreting services prior to next scheduled visit. Include documentation in appointment notes. 16. Follow HIPAA laws, rules, and regulations in accordance with CVAM Policy. 17. Screen incoming calls for triage, same day visit accommodation and make outgoing calls for rescheduling message retrieval. 18. Mail patient correspondence. 19. Request medical records by messaging medical record depart via teams for urgent or note via EMR in accordance with HIPAA laws. 20. Follow CVAM's Opening & Closing Protocols. 21. Knowledgeable in cardiac anatomy, physiology, medication management, and proper cardiac testing required to provide education to patients as needed for appointment. 22. Follow CVAM's Emergency CODE Policy. 23. Demonstrate the ability to effectively deal with stressful situations in a calm and productive manner, while maintaining the highest degree of customer satisfaction.
