The Law Office of Ruby Steinbrecher is seeking a professional, sales minded , detail-oriented, and client-focused Outreach and Intake Coordinator to join our team. This role is central to bringing in new clients, supporting outreach & marketing efforts, and ensuring a seamless experience from first contact through engagement.
Key Responsibilities:
Lead & Referral Management:
Track new leads, conduct timely follow-ups, and nurture relationships with referral partners.
Scheduling & Calendar Management:
Coordinate attorney and client appointments, including initial consultations, workshops, and follow-ups.
Inbox Management:
Oversee the info@ inbox as "owner," ensuring inquiries are responded to promptly and professionally.
Client Intake & Engagement:
Manage and conduct initial consultations with prospective clients, handle all prospective client inquiries and follow-up, manage follow up process.
Outreach & Networking:
Assist with networking activities, manage networking appointments for attorneys, community engagement, and outreach efforts to support firm growth.
Event & Workshop Support:
Coordinate logistics for workshops and events, including confirm workshop attendance, materials, setup, and day-of management.
Marketing Support:
Assist with marketing tasks such as campaign support, follow-ups, and promotional coordination.

Strong organizational and multitasking abilities Excellent written and verbal communication skills Proactive, detail-oriented, and reliable Ability to manage deadlines and shifting priorities Tech-savvy with comfort using CRM systems and office software Warm, professional, and client-centered demeanor
