Job Description

Patient Service Representative (PSR) Position Summary The Patient Service Representative (PSR) is an essential member of the front-office team and serves as one of the first points of contact for our patients. The PSR is responsible for providing exceptional customer service while ensuring accurate patient registration, scheduling, check-in/check-out, collection of payments, and completion of daily front-desk responsibilities. The ideal candidate is professional, organized, dependable, compassionate, and able to work efficiently in a fast-paced dermatology practice. Essential Duties & Responsibilities Patient Service Welcome and greet patients in a friendly, professional manner. Provide compassionate and exceptional customer service throughout the patient's visit. Assist patients with questions regarding appointments, forms, and general office processes. Maintain patient confidentiality and professionalism at all times. Help maintain a clean, organized, and welcoming front-office and waiting-room environment. Patient Check-In Accurately check patients in using ModMed and applicable kiosk workflows. Verify and update patient demographics, insurance information, identification, and required forms. Ensure new patients are properly registered prior to being seen. Monitor Appointment Flow and the waiting room to ensure patients are checked in promptly. Communicate delays, scheduling concerns, or patient issues to the appropriate team member. Scheduling & Patient Communication Schedule, reschedule, and cancel patient appointments accurately. Answer incoming telephone calls professionally and assist patients appropriately. Manage appointment recalls and waitlists. Assist with telehealth scheduling when applicable. Educate and assist patients with use of the patient portal. Follow established procedures for appointment confirmations and no-shows. Check-Out & Collections Accurately check patients out following their appointments. Schedule follow-up appointments as directed by the provider. Collect copays, deductibles, coinsurance, self-pay balances, and outstanding patient balances when applicable. Accurately process payments and follow established procedures for payment voids and refunds. Provide patients with appropriate receipts and documentation. Complete end-of-day reconciliation and ensure payments are accurately accounted for. Insurance & Administrative Responsibilities Verify insurance information and eligibility as required. Identify when referrals or authorizations may be required and follow established office procedures. Assist with billing tickets and front-office billing-related workflows. Maintain accurate documentation within the patient's electronic medical record. Create and reconcile batches/packages as required. Utilize the ModMed Help Desk and available resources to resolve system-related questions. Qualifications High school diploma, Bachelor's Degree Preferred Previous medical office, dermatology, or healthcare experience preferred. Experience with ModMed or another electronic medical record system preferred. Strong customer-service and communication skills. Ability to multitask and remain organized in a busy medical-office environment. Strong attention to detail and accuracy. Comfortable discussing patient balances and collecting payments. Professional appearance and demeanor. Ability to work collaboratively with providers, medical assistants, management, and other members of the practice.
