Intake Coordinator for Women's Private Practice Indy Women's Counseling Fishers, IN Job Details Part-time $20 - $25 an hour 9 hours ago Qualifications HIPAA Medical scheduling Administrative experience Organizational skills Office experience Full Job Description Job Overview The Part-Time Intake Coordinator position will serve as the first point of contact for potential new client and referral sources. This position plays a vital role in ensuring a positive intake process for new clients and ensuring that the goals of Indy Women's Counseling are achieved.
Responsibilities:
- Answer incoming phone calls, emails and inquiries regarding services
- Greet clients and notify therapist of when clients arrive to appointments
- Collect all necessary information to register clients in electronic health record (EHR)
- Provide clients with accurate and clear instructions on how to register with EHR, complete required intake forms and how to join Initial assessment virtually, if required
- Provide therapist recommendations and guidance to clients to ensure a good fit between clients' needs and assigned therapist
- Maintain organization with the follow-up of inquiries, information gathering, form completion and communication of initial assessments
- Maintain close communication with Chief Operating Officer to ensure staffing goals are met
- Maintain accurate and up-to-date information in tracking systems such as call log and initial assessment calendar
- Provide first line screening of client questions and concerns related to billing, scheduling and insurance, and escalate to leadership as needed
- Provide external referrals for services as needed
- Ensure HIPPA compliance with all communication of client information and data
- Other duties as required to facilitate smooth delivery of service and client satisfaction
- Provide administrative support as needed by scanning documents into EHR, ensuring availability of client facing documents, uploading documents into EHR Experience
- 2 years of experience in an administrative and/or customer service role, preferably in a healthcare setting
- Experience with Electronic Health Record (EHR) systems (Preferred)
- Familiarity with behavioral health services and treatment modalities
- Exceptional ability to prioritize responsibilities
- Must possess strong organizational skills
- Ability to provide exceptional customer service to clients and referral sources

Pay:
$20.00 - $25.00 per hour Expected hours: 12.0 per week
