We are seeking a highly motivated, organized, and results-driven Legal Assistant / Intake Coordinator to join our law firm and take ownership of our bankruptcy intake and client conversion process. This is not a passive administrative position. We are looking for someone who is serious about their career, comfortable speaking with prospective clients, and motivated to follow up consistently until a potential client makes a decision. The ideal candidate is professional, confident on the phone, organized, analytical, diligent, and able to manage multiple leads and matters without allowing opportunities to fall through the cracks. Responsibilities Contact new bankruptcy leads promptly by phone, text, and email. Conduct consistent follow-up with prospective clients who have not yet retained the firm. Explain the firm's consultation, onboarding, and retainer process clearly and professionally. Send attorney fee agreements and retainers for electronic signature. Follow up on outstanding retainers until they are completed. Schedule consultations and appointments for prospective clients. Maintain organized and accurate records of all lead communication and follow-up activity. Update the firm's CRM and case management systems after every interaction. Track prospective clients throughout the intake process from initial inquiry through signed retainer. Identify leads that require additional follow-up and develop a plan to move them forward. Communicate with attorneys and staff regarding new clients and potential cases. Assist with opening new bankruptcy matters once clients retain the firm. Ensure new clients receive necessary onboarding documents, questionnaires, and instructions. Monitor outstanding documents and information needed from clients. Help oversee the day-to-day organization of the legal/intake department. Maintain deadlines, task lists, calendars, and client communications. Provide excellent customer service while maintaining professionalism and confidentiality. Assist with additional administrative and legal support duties as needed.
