Job Description
LUXE Health Club is a private, appointment only training studio for executives and affluent adults in Scottsdale and Paradise Valley. Sixteen years in business, one immaculate facility, and a small, loyal roster of clients who pay for outcomes rather than workouts. We are rebuilding the business around a true concierge model, and we need the person who owns the client experience end to end. Title Private Client Coordinator & Concierge Type Part time, hourly, in person, 20-25 hours a week What you will own Onboarding. Intake, baseline testing, goal setting, and the first four weeks scheduled before the client leaves the building. Accountability. Weekly contact with every client. When someone has not been in, you notice that day and act on it that day. Quarterly reviews. Coordinate DEXA, biometrics and goal resets. Nobody slips through. Day to day coordination. Schedules, reschedules and reminders, so sessions run on time with zero friction. The app and compliance. Adherence, check ins, and following up on anything that has not been logged. First line of contact. First response on client messages during your scheduled hours, so the founder's time stays on coaching rather than logistics. Reporting. Track and report retention, adherence and review completion weekly. The concierge network This is what separates LUXE from every trainer in Scottsdale. Our clients get the result, and they get the infrastructure around the result. You build and run that network. Placing private chefs and coordinating meal preparation against each client's nutrition protocol Arranging fitness wardrobe styling for clients whose bodies are changing Coordinating introductions to our vetted network of physicians and specialists, including longevity, hormone optimization, orthopedics and physical therapy Booking recovery, bodywork, diagnostics and anything else a client's program calls for Sourcing and vetting new partners as client needs evolve, and holding every one of them to our standard You are not passing along a phone number. You are making the arrangement, confirming it, and following up on it. Brand and content, alongside the founder LUXE is building a national brand and you sit next to it while it happens. You support the founder on social media: capturing content during sessions, coordinating shoots and the editor, keeping the posting calendar on schedule, and organizing client stories and results into usable material. If you have an eye for how a luxury brand should look and sound, there is room here to take more of it. Compensation and benefits $30,000 to $35,000 per year , depending on hours and experience. Part-time hourly, 20 to 25 hours per week, paid bi-weekly. Quarterly performance bonus tied to client retention and quarterly review completion Monthly health contribution toward your individual coverage Paid sick time , 24 hours credited at the start of each year Paid holiday closures Mileage reimbursement at the federal standard rate for client and vendor travel Complimentary personal training and the full LUXE nutrition program , the same protocol our clients pay for Flexible scheduling within business hours Who this is for You have run point for demanding people and liked it. Executive assistant to a principal, high end hospitality, private client services, family office, concierge medicine, medical office coordination, luxury retail clienteling. You are naturally warm, organized and calm under pressure. You care about health and fitness, and you can talk to successful adults as peers rather than as fans. You are comfortable holding a high achieving client to a commitment they made to themselves. Who this is not for Trainers looking for a stepping stone into a training role. This job is the relationship, not the programming. Anyone who wants a remote job. This role is in the room, with the clients and the founder. Anyone uncomfortable texting, calling and following up with wealthy clients. Anyone who needs a fully built system on day one. Much of this is being written for the first time and you will help write it. What success looks like in 90 days Every client onboarding and quarterly review runs through you. You are the first line on all routine client communication. The founder can go a full week without handling a scheduling or reminder message. The growth path We are hiring part time because the role is being built as the business restructures, not because we want a temporary person. The full time Program Director seat opens when all three are true: Every client check in, quarterly review, concierge arrangement and scheduling request runs through you without the founder involved. Retention and quarterly review completion hold at target for two consecutive quarters. The active client roster reaches the threshold that funds the full time seat. First formal review at month six, with the full time seat targeted inside twelve months. Clear the gates sooner and we move sooner. Program Director is a salaried role with a higher base, a larger bonus pool, direct report responsibility, and an expanded benefits package including a larger health contribution, paid time off and retirement eligibility. Those additions attach to the full time seat, and we would rather say so up front than imply otherwise.
