This role helps create an organized, and reassuring beginning for residents and families entering the community. By ensuring paperwork, communication, and room readiness are handled with care, the Community Concierge/Move-in Coordinator supports a smoother move-in experience and strengthens family confidence from day one. The ideal candidate combines strong administrative assistant and customer-service skills with warmth, discretion, and a can-do attitude to support families navigating a transition to memory care. This position reports to the Family Advisor. The Community Concierge/Move-in Coordinator is a full-time position. The shift is 8 pm to 5 pm, Sunday through Thursday.
Salary :

Guide families through required pre-move-in forms and secure documents and signatures, meeting deadlines and ensuring paperwork is complete, accurate, and submitted promptly. Coordinate new resident onboarding by communicating relevant resident information, preferences, care needs, dietary information, room-readiness needs, and move-in details to appropriate departments. Prepare and maintain move-in checklists, welcome materials, onboarding packets, and status updates for incoming residents. Help ensure accommodation is ready for move-in by coordinating with applicable departments regarding furnishings, maintenance needs, housekeeping, supplies, inventory of intake items, and personalized welcome touches. Provide support to team members for communicating resident transition to families during and after move-in in accordance with the 30-Day New Move-in Policies. Conduct community tours for prospective families, guests, and referral sources when sales or leadership team members are unavailable. Manage the lobby area upholding the community standard for hospitality ensuring that the refreshment station is always stocked, signage is visible, the area is tidy, and equipment is stored out of pathways. Serve as back-up receptionist, including greeting visitors, answering and routing telephone calls, receiving deliveries, responding to general inquiries, and maintaining a welcoming front-desk presence. Assist with community projects, events, communications, and other administrative or operational support efforts as assigned. Qualifications High school diploma or equivalent required; associate degree or additional education in healthcare administration, hospitality, business, marketing, or a related field preferred. One or more years of experience in senior living, healthcare, hospitality, customer service, administration assistance, admissions, or a related field preferred. Experience working with older adults, families, dementia care, or memory care is strongly preferred. Strong written and verbal communication skills, with the ability to communicate clearly and compassionately with families during an emotionally significant transition. Excellent organization, time-management, follow-through, and attention to detail. Ability to manage multiple priorities, deadlines, and competing needs in a fast-paced environment. Proficiency with Microsoft Office, email, scheduling systems, and resident-management and CRM software; ability to learn community-specific systems. Professional telephone etiquette and customer-service skills. Ability to maintain confidentiality and handle sensitive information with sound judgment and discretion. Physical and Scheduling Requirements This position requires physical presence at the community location during all assigned working hours in order to adequately perform all duties. Ability to sit, stand, walk, and move throughout the community during the workday. Ability to occasionally lift or move office supplies, welcome materials, or small packages, generally up to 25 pounds. Availability to provide coverage for the reception desk, tours, move-ins, events, or other community needs. Schedule may include occasional evenings, weekends, or holidays based on operational needs.
