Job Description
This position is primarily based in Mountain View. Candidates must have the flexibility to work at other practice locations as needed. Job Overview We are seeking an experienced Patient Concierge to join our fast-paced plastic surgery and medical aesthetics practice. Prior medical office experience is required. We are especially interested in candidates with previous experience in plastic surgery, medical aesthetics/med spa, dermatology, or another patient-facing specialty medical practice. This is not an entry-level position. The ideal candidate understands the pace, professionalism, discretion, and attention to detail required in a medical office and is comfortable working directly with patients, providers, and clinical staff. The Patient Concierge is a key part of the patient experience, serving as a first point of contact while helping ensure the front office and daily patient flow run efficiently. Key Responsibilities Greet, check in, and check out patients while providing a professional and welcoming experience Manage appointment scheduling, patient registration, intake, and front-office workflows Answer incoming calls and patient messages and appropriately route questions or concerns Coordinate closely with physicians, nurses, providers, and administrative staff to maintain efficient patient flow Maintain accurate patient information, documentation, and medical records Collect payments and accurately handle patient financial information Maintain a clean, organized, and professional reception and patient-facing environment Utilize EMR/practice-management software and Microsoft 365 tools, including Outlook, Teams, Word, Excel, and OneDrive Protect patient privacy and follow HIPAA, confidentiality, and established practice protocols Assist with additional administrative and patient-service responsibilities as needed Required Experience Candidates must have prior experience working in a medical office or clinical practice environment. Strong preference will be given to candidates with experience in: Plastic surgery Medical aesthetics / med spa Dermatology Cosmetic or aesthetic medicine Other high-touch, elective, or procedural medical specialties Candidates should already be familiar with the fundamentals of working in a medical practice, including patient scheduling, medical terminology, confidentiality, documentation, provider coordination, and professional patient communication. Candidates without prior medical office experience will not be considered.
Preferred Background Experience as a:
Medical receptionist or Patient Concierge Patient Care Coordinator Medical Assistant Front Office Coordinator in a medical practice Licensed Esthetician with medical practice experience Licensed Cosmetologist with medical practice experience Previous experience in plastic surgery or a medical spa is highly preferred. Additional Qualifications Strong customer service skills with the ability to provide a polished, high-touch patient experience Proficiency with Microsoft 365, including Outlook, Word, Excel, and Teams Experience with EMR and medical practice-management systems Experience with PatientNow, TouchMD, and/or Recura is highly preferred Ability to quickly learn and confidently navigate multiple healthcare technology platforms Excellent verbal and written communication skills Strong attention to detail and accuracy Comfortable handling confidential medical and financial information Ability to multitask and remain organized in a fast-paced environment Professional, dependable, accountable, and able to work independently Comfortable receiving feedback and following established processes and protocolsJob Type:
