EMERALD MANAGEMENT & CONSULTING
is looking for a dynamic individual to join our team as a Concierge & Administrative Assistant The ideal candidate will be highly organized, possess the ability to prioritize work to meet deadlines and work well under pressure. He or she must have superior customer service skills, excellent written and verbal communication skills, and proficiency in Microsoft Office Suite - Outlook, Excel, and Word. Candidates must be comfortable working in an essentially paperless environment and with the latest technology. Experience with navigating online systems including management software. If you are a self-starter with strong organizational & leadership skills, attention to detail, and demonstrate good judgment and decision-making, we want to talk to you. The Concierge & Administrative Assistant supports the onsite owner, residents, commercial occupants, Board of Directors, and Facilities Manager. He or She would work directly under this communities Community Association Manager and work alongside the on-site Buildings Operations Manager.
An ideal candidate would:
  • Receive and respond to client requests.
  • Maintain accurate list of owners/residents information.
  • Conduct regular property walkthrough, identify needs, potential concerns and compliance issues.
  • Coordinate move in and move outs.
  • Issue and track compliance letters as requested by the Community Association Manager.
  • Coordinate vendor visits for communities.
  • Interact with on-site employees and vendors to ensure day-to-day needs are met.
  • Assist in obtaining project bids as requested by the Community Association Manager.
  • Ensure that client calendars are accurate and up to date.
  • Assist with emergency issues, as needed.
  • Facilitate and maintain all onsite deliveries and mail for the community.
  • Assist with Facilities Manager as an administrative assistant on all items pertaining to the property.
Knowledge, Skills and Abilities:
  • A minimum of one and a half (1.5) years of experience in an administrative assistant capacity.
  • Advanced skills in Microsoft Office software and basic web applications
  • Experience in real-time, Windows or web-based accounting software is preferred.
  • Ability to maintain professional relationships within a team while providing high levels of customer service by communicating clear and timely responses to issues, requests, and problems.
  • Proactive approach to problem solving and determining opportunities for improvements.
  • Ability to keep client information strictly confidential.
  • Excellent organizational skills and detail oriented.
  • Must be able to handle multiple projects and change priorities with a smile.
Essential Physical Abilities:
  • Maintain a proper professional appearance. Ability to perform concierge duties. This includes abilities to sit for a length of time.
  • Sufficient clarity of speech, hearing, or other communication capabilities to discern verbal instructions and communicate effectively with others in person, via email and by telephone.
  • Sufficient visual and mental acuity to comprehend written work instructions and make determination of necessary actions required to meet the presentation standards.
  • Sufficient manual dexterity to operate standard office equipment.
  • The selected individual must be able to perform all essential job functions with or without reasonable accommodation.
Hours, Compensation & Location:
Part-time (20 hours): Friday - Sunday or Saturday - Monday Compensation starting at $20 hourly.
  • PTO Accrual.
Position is located at the property in Bellevue, WA. Parking onsite limited with street parking available.
