Job Description

Summary of Position:
As the Assistant Events Coordinator, you will be responsible for all responsibilities of the Events Coordinator in his or her absence. You will assist in creating, soliciting, promoting, planning, and executing exciting, successful, and profitable on-site and off-site events. Most importantly, this position requires close cooperation and collaboration with other departments across the organization. Responsibilities include, but are not limited to: meeting with clients to explain and finalize event specifications and collect any required deposits and documentation; requisitioning equipment and supplies for each event; ensuring that each event is planned to conform to the agreed-upon banquet event order (BEO); and ensuring that the customer is accurately invoiced and collects monies as prescribed in the event contract. Job Specific Responsibilities Assist in supervising the Events Department staff. Responsible to assist in event preparations, including but not limited to creating Banquet Event Orders (BEO's), finalizing reservations, meeting with clients to explain and finalize event specifications and collecting any required deposits and documentation; requisition equipment and supplies for each event; ensuring that each event is planned to conform to the agreed-upon function sheet; verifying meal selections, choosing venues, developing site plans, ensure that the customer is accurately invoiced, and collect monies as prescribed in the event contact, and evaluating success afterward and make any necessary changes affecting similar events moving forward. All event coordination and collaboration must use company-approved software platforms, including but not limited to Google Suite, Smartsheet, and Honeybook. Assist with maintaining the shared calendar of events. Assist in maintaining customer contacts and lead lists, and help coordinate with our marketing team to use the latest information technologies to market our product to our customers electronically. i.e., email blasts, newsletter, Facebook, Twitter, online travel sites, etc. A dedicated section of our website promotes our tour and events business. Respond promptly to all email, phone, and Hubspot inquiries, check messages, and return calls regarding tour inquiries. Assist in the hiring of event contract workers when necessary for private events or festivals. Assist in coordinating the entire customer experience during specific events. This may include greeting customers and external tour coordinators before each function, ensuring buses park, offload, and load passengers in the designated areas, and inspecting the event area before each event. Check area setup, menu, service staff, stage & serve tour/meal events. Coordinate and oversee the execution of multiple tours during peak times. Coordinate and assist in the preparation, breakdown, and cleanup of tours and special events. Be prepared to provide expertise and support for on-site events at our Kierland location. Work closely with the Food & Beverage, Operations, and Marketing Departments to host and coordinate special events, parties, unique events, and group tours. Conduct site visit tours with potential clients interested in booking a special event, private party, and culinary experience. During the event, check in with our guests to ensure satisfaction and address any requests. Assist in maintaining a monthly inventory list of all event assets. Coordinate the repair or replacement of event assets. Manage and participate in the breakdown and clean-up after the event. Account for all equipment and supplies. Return event assets to their storage areas and arrange for the return of rented materials and equipment. If required, ensure equipment is protected from environmental conditions. Responsible for fully understanding all store offerings, including all food/beverage products and services. Be familiar with the operation of the Point of Sale (POS) system and be capable of performing the general duties of a retail cashier. Assist in coordinating outside catering orders and inquiries, and creating catering agreements consistent with the approved catering menu. Order and maintain the inventory of catering supplies. Schedule musicians who are consistent with our concept and customer demographics. Brand spokesperson - Actively promote and coordinate TV/Press appearances and interviews. Participate in off-site events and tastings when asked by the President. General Responsibilities Company Policies and Procedures Adhere to and continuously improve all policies, procedures, standards, Company Handbook rules and regulations, specifications and guidelines, inventory control procedures, equipment preventative maintenance programs, cash control policies, opening/closing procedures, security guidelines, sanitation and safety requirements, training programs, and customer service levels as they relate to your specific store location or department. Human Resources Be knowledgeable of all Human Resource policies, rules, and procedures in our Company Handbook. There are many forms of workplace harassment. (Refer to the company handbook.) Immediately report any harassment within your department to your immediate supervisor or manager and to HR for review. Must report any injury of staff or customer to Human Resources immediately. Must fill out an incident report. Qualifications Must have 2-3 years of experience. Possess an up-to-date food handler permit or card for the county in which he/she is employed, or be able to provide one within 14 days of employment. Be able to cope with the stress of seasonal sales activity and hours. Be able to work in a standing position for extended periods (up to 12 hours).
Time Management:
Work with employees, customers, and management. Create schedules, order supplies, and write reports. Time management is essential to make sure everything gets done.
Math and Budgeting:
Develop and maintain your specific budgeting responsibilities. You need to be confident in using math skills to ensure you know where your company's money is going.
Analytical Skills:
You will also need analytical skills to be able to solve problems that may come up during a typical workday. Excellent critical thinking & decision-making skills.
Speaking and Writing:
Managers do a lot of communicating. Communications may be one-on-one with a customer, in front of a group of employees, or in a meeting with management. You might be called upon to write reports, recommendations, or reasons for termination. Excellent verbal communications and writing skills will help you in any of these scenarios.
Customer Service Skills:
Customers will ask to speak to the manager. How youInteracting with customers is crucial for repeat business, employee morale, and your company's health. Excellent customer service skills will help you solve issues before they become problems and help create customer loyalty. Excellent computer skills are required, specifically in company spreadsheets, word processing applications, and other company computer applications, including our POS system. Experience in service and food and beverage, generally involving at least three years of front-of-the-house and BOH operations and restaurant managementexperience. Be able to communicate and understand the predominant language(s) of your department. Be able to reach, bend, stoop, and frequently lift to 50 pounds. A passion for the culinary sciences and team building.
Pay:
$18.00 - $23.00 per hour
