Must have flexible availability to stay until 6:00 PM or 7:00 PM up to twice per month on event days)

On-site About the Role We are seeking a proactive, organized, and high-energy Administrative & Event Coordinator with a "can-do" attitude to join our team. This role balances day-to-day office administration, data management, fulfillment logistics, and hands-on preparation for our high-profile membership events. While daily face-to-face client interaction is low, you will play an essential role twice a month hosting major events with 60-90 attendees. Key Responsibilities Office Administration & Tech Manage daily office documentation and data management primarily within Google Workspace and Microsoft Excel (including running mail merges). Maintain efficient digital and physical organization using macOS systems. Manage inventory, ordering, and stocking of office supplies, event paper goods, and refreshments in advance of meetings. Event Logistics & On-Site Preparation Help host 2 monthly membership events (attracting 60-90 attendees), typically occurring on a Thursday or Friday evening. Retrieve books and event materials from our on-site storage area (garage) and set up presentation spaces. Ensure all event refreshments and paper goods are fully stocked prior to guest arrival. Work extended hours (until 6:00 PM

•7:00 PM) on designated event days to manage setup, hosting support, and post-event cleanup. Fulfillment & Mailings Package and prepare bulk mailings (up to 400 packages at peak times) tied to events. Manage physical distribution and inventory tracking.

Qualifications & Skills Technical Skills:

Strong proficiency in Microsoft Excel (mail merges, formatting, data handling) and Google Workspace.

OS Familiarity:

Proficient in operating macOS/Apple hardware.

Physical Ability:

Comfortable walking to the on-site storage garage, lifting boxes of books, and handling light physical setup/teardown for events.

Attributes:

High-energy personality, exceptional self-motivation, attention to detail, and a team-first "can-do" attitude.

Reliability:

Punctual and able to adjust hours up to twice per month for evening networking events.
