Full-Time (Wednesday through Sunday) Position Overview We are seeking an organized, energetic, and customer service oriented Party & Events Coordinator to oversee birthday parties, private events, seasonal festivals, and special celebrations hosted at our farm. This individual will be responsible for creating exceptional guest experiences while assisting with coordinating every detail from booking through event completion. This role is perfect for someone who loves working with people, enjoys event planning, has excellent organizational skills, and doesn't mind getting a little dusty while working on a beautiful farm. Key Responsibilities Event Planning & Client Relations Respond to event inquiries via phone, email, and social media Conduct venue tours for prospective clients Coordinate party details including themes, activities, food, décor, and scheduling Prepare contracts, invoices, and event timelines Maintain communication with clients leading up to their event Ensure every event reflects the farm's brand and hospitality Event Coordination Oversee setup and breakdown of all parties and events Coordinate vendors including catering, photographers, entertainers, and rental companies Ensure decorations and event spaces are prepared on time Welcome guests and serve as the primary point of contact during events Resolve any issues quickly while maintaining a positive guest experience Farm Activities Coordinate horse interactions, pony rides, animal encounters, and farm activities Work closely with farm and party staff to ensure animal safety and scheduling Maintain safety standards for guests throughout each event Administrative Duties Manage event calendar and reservations Maintain inventory of party supplies and decorations Order supplies as needed Help develop new party packages, weekly and monthly activities, and seasonal event offerings Marketing & Growth Assist with social media content featuring parties and events Gather client testimonials and photos Build relationships with local schools, organizations, and businesses Qualifications Previous experience in event planning, hospitality, or customer service preferred Excellent communication and interpersonal skills Strong organizational and multitasking abilities Comfortable working outdoors in varying weather conditions Ability to lift up to 50 pounds Weekend and holiday availability required Experience with children and families is highly preferred Horse or farm experience is a plus but not required Desired Qualities Positive, enthusiastic attitude Self-motivated and dependable Creative eye for decorating and event design Calm under pressure Strong attention to detail Team-oriented Passion for creating memorable experiences Success in This Role Looks Like Five-star customer experiences from booking to event completion Smoothly executed parties that start and end on schedule Increased repeat bookings and referrals Well-maintained event spaces and supplies Positive collaboration with farm staff and vendors Growth of seasonal events and community engagement This position can naturally grow into an Events & Marketing Manager role, overseeing weddings, corporate retreats, holiday festivals, educational events, and fundraising initiatives as the farm's event business expands.Career Insights for Event Planner
