POSITION SUMMARY
Under the direction of the Director, the Wedding & Event Coordinator will manage prospecting and sales for private hire events within their individual market segments. Specific emphasis will be placed on developing and maintaining key business relationships with event clients, sponsors & partners. You will exhibit a passion for excellence, flair for personalized service and a commitment to building curating amazing marketing and special events, corporate and holiday events, weddings, family functions etc. that provide our guests with memorable experiences. This position will be directly responsible for the solicitation, curation and sales of these events. This position will be based in Honolulu, Hawaii. Under the guidance of the Director, the marketing and Wedding & Event Coordinator will assist with such initiatives and assure guest satisfaction.
ESSENTIAL JOB FUNCTIONS
Being comfortable in conversing with clients, members, guests and potential members regarding Plan Do See/ Queen Kapiolani events and our various programs, pricing structure and amenities. Must always be a positive and articulate ambassador of the Plan Do See/ Queen Kapiolani project/brand. Prepare presentations, pitches and proposals, sponsorships/partnerships. Manage client entertaining efforts and initiatives. Conduct walk through & tours for event opportunities. Draft proposals for potential clients. Manage internal event budgets for individual event segments. Manage private hire P&L margins. Liaising with clients to select menus, understand needs and coordinate the details of their events. Strong emphasis placed on the communication of event information to relevant parties including, but not limited to, the Catering Chef, Event Operations Director, General Manager, Head of Security and Tech Manager. Oversee Event Operation Manager and Event Sales Manager positions with strong leadership including setting marketing directions for the team, motivating the team, following up on projects, and making improvements to the quality and sales of events. Responsible for making sure deposits and balances get run and tracking events sales. Prepare lead & sales reports. Focus on clearly communicating event specs pre-event to events associate to ensure that day-of production is seamless. Assist all in all aspects of the marketing plan, including branding, advertising, collateral, direct mail, e-marketing, photo and video shoots, social media, public relations and on-line presence. Develop and implement events and promotions, from holiday bookings, large or intimate groups, weddings, large-scale signature events, such as holiday special events, opening events etc. Develop and implement initiatives to solicit business for on-premise catering functions and off premise catering business. Coordinate event advertising, signage and website updates. Oversee social media and on-line presence of venues and all special events. Handle online marketing vehicles, websites, social media, and outbound email marketing campaigns. Produce marketing meetings, including invitations, guest speakers, presentations, audio-visual needs, and food and beverage. Maintain event budgets within set parameters established and agreed upon, making cost-saving and efficiency recommendations. Oversee the weekly traffic report compilation, analysis, reporting and distribution from social media. Assist management team with guest relations and communicate all areas of concern to the General Managers, and venue management teams. Perform special projects or other duties as assigned by leadership. Be the go to person for special projects and initiatives. Lead communicator between leadership team and PR and social media and partners. Assist leadership team in new openings, help with training SOPs. Assist in menu graphic creation, collaterals, marketing graphics etc.
REQUIRED LICENSE/QUALIFICATIONS
College degree or relative work experience required. (2) years of experience in administrative functions within Marketing and Public Relations (2) years of experience in a Special Events Manager position within a stand-alone restaurant, hotel or casual/fine dining restaurant Understanding and knowledge of safety, sanitation and food handling procedures. Must be able to speak, hear, understand, read, and write the English language. Proficient in Microsoft applications (Excel/Word/PowerPoint) and Google applications (Gmail, Calendar etc). Knowledge of guest experience, and interdepartmental relations new hires training and continuing education of current staff on food, wine and cocktail specifications.
PREFERRED LICENSE/QUALIFICATIONS/KNOWLEDGE
(2) years experience with marketing and special events experience in stand-alone restaurants, hotels or casual/fine dining restaurants. College degree in a related field-marketing/communications/etc. 2-3 years management experience with a special events agency or related PR / social marketing field. Experience in restaurant openings and all details pertaining to it. A passion and interest in the food and beverage industry.

Ability to multi-task and learn quickly. Organized with attention to detail and accuracy. Ability to take independent initiative, as well as work within a team. Proficient in Mac OS X including PPT and Excel. Efficient with Google Calendar/Docs/Gmail/Chrome. Highly organized. Able to flourish while working against deadlines. Ability to coordinate and oversee multiple tasks simultaneously. Excellent interpersonal skills. Excellent communication skills (verbally interacts with management, team members and guests.) Proven leadership skills and teambuilding skills. A strong guest service aptitude. Pleasant, polite manner and a neat and clean appearance. Ability to work well in stressful, high-pressure situations in a fast-paced environment. Ability to accept constructive criticism and work calmly and effectively under pressure. Ability to implement and uphold service standards. Ability to prioritize and organize work assignments. Capable of analyzing business outcomes and scheduling appropriately. Conflict resolution sensibility, both with staff and guests.
PHYSICAL REQUIREMENTS
Ability to speak and hear, vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Constant standing and walking. Be able to work in a standing position for long periods of time (up to 8 hours). Be able to reach, bend, stoop and frequently lift up to 35 pounds and occasionally lift/move 50 pounds. Continual use of manual dexterity and gross motor skills with frequent use of bi-manual dexterity and fine motor skills.
WORK ENVIRONMENT
Generally, in an indoor setting. Will be using a computer occasionally. Varying schedule to include evenings, holidays and extended hours as business dictates. Frequently exposed to heat/cold from the mechanical equipment. The noise level in the work environment is usually moderate to loud. Work flexible hours that may include early mornings, evenings, weekends, nights and/or holidays. The employee may be exposed to the risks associated in attempting to resolve issues with difficult guests.
