Job Description

Event Coordinator We are looking for an Event Coordinator to join our Louisville team. This is a hands-on position for someone who enjoys working with people, keeping plans organized and making sure every part of an event is properly prepared. You will coordinate schedules, venues, suppliers, staffing and event materials while keeping clients and internal teams informed. You will also oversee the Event Assistants assigned to each project, ensuring everyone understands their responsibilities and is ready for the day. You will report to an experienced Event Manager, but this is more than a basic support role. We want someone who is ready to make decisions, guide others and develop practical leadership experience. You do not need years of event management experience, but you must be reliable, confident and comfortable being accountable for your work. Hours and Pay The hourly rate is $24.00-$27.00 , depending on relevant experience. Normal working hours are Monday through Friday, 9:00 a.m.-5:00 p.m. Some flexibility with start and finish times may be available when agreed in advance, provided event coverage and project deadlines are fully managed. Occasional weekend work will be required for scheduled events. Dates will normally be communicated in advance, and approved weekend hours will be paid at the company's overtime rate. What You'll Be Responsible For Reviewing confirmed event requirements and turning them into clear working plans Creating schedules, checklists and timelines for each project Coordinating with venues, suppliers and internal departments Tracking event budgets, orders, approvals and delivery dates Confirming staffing, materials and equipment ahead of each event Briefing Event Assistants and assigning individual responsibilities Monitoring preparation and following up on incomplete actions Supporting setup, live event delivery and breakdown Keeping clients informed throughout the planning process Responding calmly and practically when plans change Completing post-event reviews and gathering feedback Several events may be at different planning stages at the same time. You will need to recognize what requires immediate attention, what can be delegated and when an issue should be raised with the Event Manager. Your Experience and Skills Previous experience with events, projects, administration or team coordination would be useful, but a management title is not required. Leadership experience gained through employment, education or organized projects will also be considered. We are looking for someone who: Communicates clearly with clients, colleagues and external suppliers Gives specific instructions and follows up respectfully Can manage several deadlines without losing attention to detail Remains calm when timings or requirements change Is comfortable working with schedules, budgets and planning documents Uses good judgment and knows when to ask for support Responds positively to coaching and applies feedback Wants to develop their event planning and leadership skills A degree is welcome but not essential. We are more interested in how you organize your work, communicate with others and respond when trusted with responsibility. How Success Will Be Measured Performance will be assessed through planning accuracy, deadline management, budget control, team readiness, client communication and feedback following each event. Building Your Experience You will work closely with the Event Manager and receive practical guidance in event planning, supplier coordination, budget management and team supervision. As your experience develops, you may be trusted with larger events, more detailed projects and bigger delivery teams.
