Events Coordinator - Temporary
Job Description
The Temporary Events Coordinator provides administrative and logistical support for the Center for the Study of World Religions' events and programs. Working with Center staff, speakers, vendors, and Harvard partners, the Coordinator helps organize event arrangements, supports on-site execution, and completes related administrative and financial tasks. This is a temporary, 60-day position from date of hire. Please send resume and cover letter to cswr@hds.harvard.edu . This is a termporary, non-benefited, full-time, 35 hour a week position. Typical Duties and Responsibilities Coordinate event logistics, including scheduling, registration, catering, audiovisual services, facilities, accessibility, materials, room setup, and breakdown. Communicate logistical information to speakers, participants, vendors, and Harvard colleagues. Arrange guest travel and accommodations as needed. Assist with invoices, reimbursements, and event expense documentation. Prepare and distribute event information and promotional materials. Update event listings and other approved website or social-media content. Schedule and provide day-to-day direction to student event assistants. Provide on-site support and respond to event-related needs. Maintain event calendars, registration information, attendance records, and planning documents. Perform other event-related duties as assigned. Basic Qualifications At least two years of relevant experience in event coordination, administration, hospitality, or a related area. Education beyond high school may count toward experience in accordance with Harvard guidelines. Experience supporting events involving multiple participants, deadlines, and logistical requirements. Ability to work occasional evenings and weekends as required. Additional Qualifications Strong organizational, communication, and customer-service skills. Ability to manage multiple tasks, meet deadlines, and respond effectively to changing needs. Demonstrated attention to detail, sound judgment, and ability to work independently with appropriate guidance. Proficiency with Microsoft Office and ability to learn event-registration, financial, web, and related systems. Experience in higher education or public programming preferred. Physical Requirements Ability to lift and move event materials weighing up to 25 pounds.
