Wednesdays and Thursday, 9:00 AM - 5:00
PM Compensation:
$20.00/hour

Executive Director About the Women's Center of Greater Lansing The Women's Center of Greater Lansing is dedicated to helping women achieve self-sufficiency through employment preparation, individual counseling, support groups, and education. We foster a supportive, empowering environment where every client can build a better future. Position Summary We are seeking a welcoming, organized, and proactive Front Desk / Volunteer Coordinator to serve as the face and voice of the Women's Center. In this dual-focused role, you will ensure seamless daily operations at our reception desk while building and supporting a strong network of volunteers and interns. As the primary point of contact for clients, visitors, and volunteers, you will play a critical role in fostering a safe, supportive environment and raising awareness of our services throughout the community.
Key Responsibilities Front Office Coordination Front Desk & Reception Operations:
Manage daily front desk operations, answer incoming phone calls, welcome clients and visitors, and provide accurate information about Center programs and community resources. Maintain a warm, trauma-informed, and clean environment in the reception area.
Office Logistics:
Monitor and restock office, client, and kitchen supplies; coordinate repair requests with facility vendors.
Volunteer & Intern Support:
Provide day-to-day coordination, training, and scheduling for volunteers and interns assisting at the front desk, ensuring coverage and strong administrative support.
Volunteer Recruitment & Onboarding:
Oversee the end-to-end volunteer application process, including screening, interviewing, conducting background checks, orienting, and matching applicants with appropriate roles.
Communications & Outreach:
Develop and create engaging communication materials (flyers, newsletters, social media content, and digital announcements) to promote Center events, volunteer opportunities, and services.
Data & Administrative Support:
Track volunteer hours, maintain accurate applicant and volunteer databases, and support general office management tasks as needed. 2.
Fundraising & Donor Relations Support Donor Acknowledgments:
Process donor thank-you letters, tax receipts, and personalized welcome notes in a timely manner.
In-Kind Gift Tracking:
Coordinate, log, and organize physical donations; issue donation receipts to donors dropping off goods at the center.
CRM Data Entry:
Maintain high data integrity by entering donor information, pledge details, and event registrations into the center's fundraising database (e.g., Salesforce, DonorPerfect, Bloomerang).
Grassroots & Micro-Fundraising:
Help coordinate small-scale giving campaigns (e.g., peer-to-peer fundraisers, holiday gift drives, or monthly giving sign-ups at the front desk).
Event Logistics:
Assist the Development team with administrative tasks for annual gala events, awareness campaigns, and donor appreciation events.
Qualifications & Experience Experience:
2+ years of experience in front desk management, volunteer coordination, customer service, or administrative support (non-profit experience is a plus).
Communication Skills:
Exceptional interpersonal, written, and verbal communication skills; ability to create eye-catching promotional materials using tools like Canva or Microsoft Office.
People & Leadership Skills:
Strong ability to connect with people from diverse backgrounds, train and lead volunteers, and handle sensitive situations with empathy and confidentiality.
Organization & Multitasking:
Excellent time-management skills with the ability to manage reception duties while coordinating volunteer workflows and communications projects.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), basic database management, and familiar with design/social media tools.
Fundraising Knowledge:
Familiarity with basic fundraising concepts, donor stewardship, or experience working with a donor management/CRM database is a strong plus.
