Event Manager Responsibilities:
Staff Hiring & Onboarding:
Recruit, screen and interview potential Event Coordinators/tour guides and complete required onboarding for new staff.Staff Management:
Train, schedule and communicate with event staff throughout the season and ensure events are appropriately staffed.Event Preparation:
Prepare staff schedules, event routes, Run of Show documents and other operational materials needed for a successful event season.Supply Management:
Prepare, organize, distribute and restock event supplies and ensure event staff have everything needed to successfully run each event.Customer Management:
Communicate with customers as needed before and during the event and help resolve customer questions or issues.Event Quality:
Help ensure every Holiday Lights Trolley event is executed at the highest level and delivers a fun, organized and consistent customer experience.Vendor Management:
Serve as the local point of contact for transportation partners, event venues and other local partners.On-Site Event Management:
Be on-site for required event dates to oversee staff, troubleshoot issues and ensure events run smoothly.Live Event Support:
Be available and on-call during assigned event hours throughout the season to support staff and respond to operational issues.Communication & Follow-Through:
Participate in regular calls with the Lead Event Manager, meet required deadlines and proactively communicate questions, issues or concerns.Requirements:
Contract Dates:
10/11/26-1/4/27 (Scope of Work and EM Calendar will be provided during interview process)- Must be available for the following:
- 10/11-10/13 Event Manager Training in Detroit (Travel and accommodations provided)
- 11/28, 11/29, 12/4, 12/5 and select dates 12/6
- 12/20: Event Manager must be on-site in Kansas City
- 11/28-12/27 (excluding 12/24 and 12/25): Event Manager will be on-call whenever the event is running
What We're Looking For:
- Previous event management, hospitality, operations or team leadership experience preferred
- Laptop computer to use for the job (required)
- Proficient with Google Docs and ability to learn Event Management Software.
- Demonstrated leadership experience
- Dynamic and engaging personality
- Great public speaking skills
- Highly organized with good time management skills
- Ability to work independently while meeting deadlines
- Strong problem solving ability
- Passion for events, people and fun!
