JOB SUMMARY
The Events Specialist II plays an integral role as part of a team responsible for the successful planning, logistical oversight, and execution of scheduled events at the Oklahoma Aquarium and The Ranch facilities. This is a full-time position that requires some night and weekend hours. The Events Specialist II reports to the Special Events Supervisor and Director of Administrative Services of the Oklahoma Aquarium.
MAJOR RESPONSIBILITIES/ACTIVITIES
Communicate with and develop relationships with potential event clients, provide facility tours, assists client in planning all event details and ensure client satisfaction, prepare and negotiate event contracts. Primarily responsible for planning, coordinating and staging major Aquarium-sponsored events such as Hallowmarine and Aquarium Run, as well as other Aquarium-sponsored special events such as Boomfest, Salsa Fest, and private bookings at The Ranch facility, etc. Manage all vendor relationships and identify necessary services for events. Manage the budget for all events, making accurate revenue projections and effectively overseeing expenses. Work respectfully and collaboratively with internal staff, members of the Oklahoma Aquarium Foundation, members of the Jenks Aquarium Authority, and members of the Aquarium management team as needed. Draft and manage guest/donor correspondence related to events such as needed. Work with all departments within the Aquarium and City of Jenks staff to manage events and ensure that each event is a positive experience for the individual/group reserving the facility. Possess an ability to collect, analyze and understand financial and attendance reports. Actively seek out event opportunities, participate in trade shows, etc. to promote event opportunities at the Oklahoma Aquarium. Maintain positive customer relationships, interact with guests and employees, answer questions and resolve possible satisfaction opportunities; train, develop and coach special event staff to also resolve guest opportunities; utilize a "hands on approach" with customer service approaches. Seek out training and skill development, actively pursuing growth and learning opportunities. Send 'Ask Nicely' correspondence after each event.

Ability to travel on a limited, as-needed, basis - including occasional overnight travel. Demonstrate professionalism at all times. MINIMUM AND PREFERRED REQUIREMENTS
Bachelor's degree in hospitality or related field, preferred; commensurate level of meaningful work experience may be substituted. Cash handling experience and high degree of accountability. Professional appearance, excellent communication skills, customer service attitude and ability to handle complaints with diplomacy. Proficient in Microsoft Office and ability to learn additional programs utilized in admission and membership sales and group reservations. Exceptional organizational, communication and interpersonal skills are also a prerequisite.
WORKING ENVIRONMENT
The duties of the Events Specialist II will be performed in multiple locations, including, but not limited to a climate-controlled office environment, the public and restricted areas of the Jenks Aquarium and/or the offices and venues of vendors. Work environment is both formal and informal, team oriented, having variable tasks, pace, and pressure.
Physical:
Primary functions require sufficient physical ability to work in an event center setting. Continuous walking and standing, with upward and downward flexion of neck; fine finger dexterity; light to moderate finger pressure to manipulate keyboard, equipment controls, and equipment; pinch grasp to manipulate writing utensils. Frequent side-to-side turning of neck, walking, standing, bending, stooping, pushing/pulling, and twisting at waist. Frequent squatting, kneeling, and reaching above and at shoulder height; moderate grasp to manipulate reference books and manuals. Frequent lifting of up to 25 pounds throughout the course of a workday.
Vision:
See in the normal visual range with or without correction; vision sufficient to read computer screens and printed documents and to operate equipment.
Hearing:
Hear in the normal audio range with or without correction.
