Job Description

Admin & Event Coordinator (Conference Support) Are you highly organized, detail-oriented, and energized by coordinating large-scale events? Our client is seeking an Admin & Event Coordinator to play a key role in supporting conference planning, communications, and day-to-day event activities. This fast-paced position is ideal for someone who enjoys balancing administrative support, event logistics, communications, and technology while ensuring a seamless experience for conference attendees, speakers, sponsors, and exhibitors. What You'll Do Manage and maintain conference registration in Cvent, including registration paths, pricing, business rules, and session selections. Test registration workflows and troubleshoot registration issues, broken links, and system errors. Monitor the conference inbox and respond to attendee questions regarding registration, hotels, and event logistics. Track registrations, maintain accurate attendee data, and prepare weekly registration reports. Coordinate hotel rooming lists by working with hotel partners and managing updates within Cvent. Support speaker logistics by tracking biographies, headshots, and registration status. Assist with conference agenda and session setup within Cvent. Coordinate sponsor and exhibitor registration and communications. Draft and distribute conference communications using Cvent and Mailchimp. Track project deadlines and follow up with internal teams, speakers, vendors, and partners. Provide CRM updates, internal communications support, and general administrative assistance as needed. What We're Looking For Experience in event coordination, administrative support, communications, or a related role. Experience with Cvent is preferred. Familiarity with CRM systems and email marketing platforms such as Mailchimp. Exceptional attention to detail and organizational skills. Strong written and verbal communication abilities. Ability to manage multiple priorities and meet firm deadlines. Comfortable troubleshooting technical issues and learning new systems quickly.
