Job Description
Events & Programs Specialist - Job Summary The Farm & Home Center is seeking a dependable, organized, and customer-focused Events & Programs Specialist to support outside facility rentals, events, educational programs and fundraising efforts. This position will serve as a primary point of contact specifically for outside individuals and organizations renting event and meeting space at the Farm & Home Center and will assist with the entire rental process from the initial inquiry through event completion and final payment . Responsibilities include responding to rental inquiries, preparing contracts, collecting required documentation, coordinating event details and room layouts, assisting with setup and tear-down, providing on-site event support, and completing post-event follow-up. The Events & Programs Specialist will also help grow the Farm & Home Center's event business by developing new rental opportunities, maintaining relationships with existing outside renters, encouraging repeat bookings, and proactively seeking opportunities to bring new events and organizations to the facility. In addition, this position will support the organization's fundraising efforts, educational programs, committees, and community outreach initiatives. This position is dedicated to outside facility rentals and Farm & Home Center/Foundation programs and events. It does not include tenant relations, property management, or support for organizations that maintain permanent office or leased space within the building. Building tenant needs, requests, concerns, and communications are handled by Farm & Home Center management. The ideal candidate is friendly, professional, highly organized, comfortable communicating with the public, and willing to take a hands-on approach to events. This position requires the ability to balance administrative responsibilities with on-site event and facility support. Responsibilities - Event Inquiries & Rental Administration Serve as a first point of contact for outside individuals and organizations interested in renting event or meeting space at the Farm & Home Center. Respond to event inquiries received through the website, email, telephone, and in person. Provide prospective renters with information regarding room availability, rental rates, capacities, facility amenities, policies, and rental requirements. Assist prospective renters with selecting the appropriate space for their event. Conduct facility tours and walkthroughs with prospective and confirmed renters as needed. Follow up on rental inquiries and assist with converting prospective rentals into confirmed bookings. Maintain accurate event information and assist with managing the facility rental calendar. Prepare rental contracts and agreements and obtain required signatures. Collect deposits, rental payments, certificates of insurance, floor plans, and other required event documentation. Follow up with renters regarding outstanding contracts, payments, insurance certificates, layouts, or other required information. Maintain complete and organized files for all scheduled events. Track rental balances and follow up on outstanding payments. Maintain professional communication with renters throughout the entire rental process, from the initial inquiry through final event closeout. Pre-Event Coordination Communicate with renters prior to their event to confirm attendance, event times, access times, room layouts, setup requirements, equipment needs, and other event details. Review each event file prior to the scheduled event to ensure all required documentation and information has been received and completed. Verify contracts, certificates of insurance, payments, floor plans, setup instructions, renter contact information, and any additional notes or special requests. Identify missing information and follow up with renters before their event. Prepare and organize final event information for staff. Communicate floor plans, room layouts, schedules, and special instructions to Supervisor and other appropriate staff. Ensure event-related information is accurate, complete, and readily available prior to the renter's arrival. Event Setup, Tear-Down & On-Site Support Assist Supervisor with event setup and tear-down, including tables, chairs, equipment, room arrangements, and other facility needs. Verify that rental spaces are prepared according to approved floor plans and renter requirements. Be available on-site for scheduled events as required. Welcome renters and provide facility access and event-related information upon arrival. Serve as the on-site contact for outside renters and respond to questions, concerns, or unexpected issues during events. Troubleshoot basic facility and event-related concerns and contact appropriate staff when additional assistance is required. Monitor events to ensure renters and guests comply with Farm & Home Center policies, rules, regulations, and rental agreement requirements. Monitor contracted rental times and ensure events conclude and renters and guests vacate the property according to their scheduled rental period. Help ensure rented spaces are properly cleaned, cleared, and returned to the appropriate condition following events. Document damages, excessive cleanup, overtime, policy violations, or other concerns requiring management follow-up or additional charges. Assist with room turnovers when multiple events are scheduled. Communicate significant event-related incidents or concerns to management. Event Development & New Rentals Help identify and develop opportunities to bring new events, meetings, trainings, conferences, community programs, and other outside rentals to the Farm & Home Center. Follow up with prospective renters and organizations regarding potential bookings. Assist with outreach to businesses, nonprofit organizations, agricultural organizations, educational institutions, community groups, and other potential facility users. Assist with promoting Farm & Home Center rental spaces and services. Help identify opportunities to increase facility usage and rental revenue. Track prospective rentals, follow-up efforts, confirmed bookings, and other event opportunities. Programs, Fundraising & Community Engagement Assist with Farm & Home Center/Foundation educational programs, community events, and special initiatives. Participate as an active member of designated fundraising and educational committees. Attend committee meetings and assist with planning and carrying out committee initiatives. Assist with fundraising activities and events benefiting the organization. Help identify and communicate with potential sponsors, donors, exhibitors, vendors, and community partners. Assist with sponsorship and donation outreach as directed. Support educational events and programs, including communication with schools, speakers, exhibitors, businesses, agricultural organizations, and community partners. Assist with event registration, materials, setup, event-day activities, and program follow-up. Help develop relationships with organizations and community partners that may support future programs, events, fundraising efforts, or facility rentals. Represent the Farm & Home Center in a professional and welcoming manner when interacting with renters, Board members, volunteers, event participants, vendors, sponsors, community partners, and the general public. Scope of Position - Outside Rentals This position is responsible for outside facility rentals and Farm & Home Center/Foundation-sponsored programs and events only. This position does not provide tenant relations, property management, administrative support, or customer service for organizations maintaining permanent office or leased space within the Farm & Home Center. Qualifications & Skills Strong customer service and interpersonal skills with a friendly, professional, and helpful approach. Excellent written and verbal communication skills. Strong organizational skills and attention to detail. Ability to manage multiple events, deadlines, renter requests, and administrative responsibilities simultaneously. Ability to follow established procedures while independently handling routine renter and event needs. Comfortable communicating by telephone, email, and in person with a wide variety of individuals and organizations. Proficiency with Microsoft Office, including Word, Excel, Outlook, and other standard office technology. Ability and willingness to learn facility scheduling, rental, and administrative systems. Basic understanding of contracts, invoices, payments, and recordkeeping is preferred. Previous experience in events, hospitality, customer service, administrative support, facility rentals, nonprofit organizations, or a related field is preferred but not required. Experience with fundraising, community outreach, or educational programs is a plus. Must be dependable and comfortable working independently during events when necessary. Ability to remain calm, professional, and solution-focused when addressing unexpected event or facility issues. Ability to work collaboratively with management, maintenance staff, renters, volunteers, vendors, and community partners. Ability to understand and maintain appropriate boundaries between event/rental responsibilities and building tenant/property management responsibilities. Schedule & Physical Requirements Must have flexibility to work scheduled events, including occasional evenings and weekends based on the Farm & Home Center's event calendar. Must be comfortable working in both an office environment and throughout the facility during events. Must be able to assist with event setup and tear-down, including moving and arranging tables, chairs, and event materials within reasonable physical requirements. Regular walking and standing throughout the facility may be required during events. Position Overview This is a hands-on position that combines event administration, customer service, outside facility rental support, event operations, new business development, fundraising support, educational programming, and community engagement . The Events & Programs Specialist will help ensure that every outside renter receives professional and consistent service from their first inquiry through final event closeout and payment while also helping attract new rental opportunities and supporting the continued growth and mission of the Farm & Home Center.
Pay:
