Job Description

Position Summary The Member Services Coordinator serves as a key member of the DCA team, providing administrative and operational support to the Association and its members. The ideal candidate is organized, customer-focused, adaptable, and capable of managing multiple priorities in a fast-paced association environment. This position requires exceptional attention to detail, strong communication skills, and the ability to work collaboratively while handling confidential information with professionalism. This is a hybrid position, typically requiring 3 days a week in-person at our office in Richardson, Texas. Essential Responsibilities Membership Support 30% Process new member applications and maintain accurate member records in the association management database. Assist with membership renewals, invoicing, and database maintenance. Support member recruitment and engagement initiatives through leveraging internal platforms and social media. Support committee meetings through preparation of materials and documentation. Generate reports and maintain membership data to support organizational strategy and member engagement. Meetings & Events Support 30% Assist with planning and execution of DCA meetings, conferences, and educational programs. Coordinate event registration setup, attendee communications, and registration reporting. Update event websites with accurate schedules, registration information, and event details. Coordinate packing, shipping, and preparation of meeting materials and supplies. Enter and maintain auction donation items within the GiveSmart platform. Assist with onsite registration and event logistics as needed. Compile and organize post-event evaluations and reporting. Administrative & Office Support 20% Routine database maintenance. Maintain office supply inventory and coordinate ordering event materials. Prepare correspondence, reports, meeting materials, and presentations. Maintain public facing website and routine maintenance of member facing pages. Input and manage surveys using SurveyMonkey or similar survey platforms. Organize survey results and prepare reports for staff and leadership review. Maintain electronic and physical filing systems. Provide general administrative support to the Executive Director and departmental directors as assigned. Assist in documenting procedures and maintaining operational consistency across departments. Support implementation of new software tools and technology solutions as assigned. Social Media and Marketing 20% Create accurate and engaging content across multiple social media platforms. Assist with building out email campaigns in Your Membership software. Report engagement data and trends. Support marketing initiatives. Qualifications Associate or bachelor's degree preferred, or equivalent combination of education and experience. Four or more years of administrative event coordination experience, with two or more years supporting a trade association or non-profit. Exceptional organizational skills and attention to detail. Excellent written and verbal communication skills. Strong customer service orientation with the ability to build positive relationships with members, volunteers, vendors, and staff. Ability to prioritize multiple projects while meeting deadlines. Self-motivated with strong problem-solving skills and a collaborative mindset. High level of professionalism and discretion when handling confidential information. Technical Skills Experience with, or the ability to quickly learn: Microsoft 365 (Word, Excel, Outlook, PowerPoint) Adobe Acrobat Canva Word Press Website Management Social Media Platforms (LinkedIn, Instagram, Facebook, etc.) SurveyMonkey Your Membership or other association management (CRM) software Give Smart auction software Preferred Qualifications Experience supporting trade associations, professional societies, or nonprofit organizations. Experience with meeting registration systems, membership databases, or event management. Familiarity with website management, social media, email marketing, and digital communications. Experience supporting conferences, fundraising events, or membership programs.
