Raybourn Group International Meetings & Member Services Coordinator Raybourn Group International (RGI) is looking for a detail-oriented and customer-focused membership coordinator to join our Indianapolis office. This role serves as a key point of contact, helping members access resources, manage their accounts, and stay engaged. You will also support various programs, process orders, assist with reporting, and provide general administrative support. Why Join Us? Instead of hiring their own staff, these organizations hire us to handle important tasks like planning events, managing finances, organizing membership programs, marketing, and social media. We also help with big-picture planning, leadership support, and professional development programs. Our team takes care of the day-to-day operations so our clients can focus on their mission and serving their members. This position requires in-office work, so fully remote staff will not be considered. Staff may work up to two days per week at home. Overnight travel (by plane or car) may be required to attend a multi-day annual conference (one week a year or less). Key Responsibilities Events and Webinars Coordinate all aspects of registration system including set-up, managing registrations, and assisting attendees before and during meetings. Coordinate logistics for virtual and in-person events, including food & beverage, hotel logistics, AV, etc. Work with volunteers to secure and confirm conference speakers and collect speaker information and session materials. Communicate with speakers regarding AV and logistics. Serve as host and moderator for online webinars. Regularly communicate with exhibitors and sponsors regarding logistics, registratiosn, and other exhibitor/sponsor benefits. Maintain event supply inventory. Prepare reports and track event-related information. Manage registration and onsite operations for annual conference and in-person workshops. Member Support Welcome new members and guide them through the onboarding process. Respond to member questions by phone and email. Keep membership records updated in the database. Track member engagement and help with special recognition programs. Assist with certification and accreditation program administration. Assist members with accessing and using association programs, resources, and technology platforms. Administrative Support Provide basic bookkeeping support, including invoicing and reporting. Help prepare for volunteer meetings by organizing materials and managing follow-ups. Assist with general office and team support tasks. Who You Are Friendly and helpful with strong customer service skills. Comfortable with technology and learning new tools. Good at keeping track of details and juggling multiple tasks. Able to communicate clearly and professionally in writing and on the phone. Experienced with administrative tasks and using data to support your work. Bachelor's degree or equivalent experience required. Bonus Points If You Have Experience working with nonprofit associations or membership-based organizations. Customer service experience. Meeting planning experience. Familiarity with customer or membership databases.
Travel and Work Schedule:
Daily work hours are 8 a.m. - 5 p.m. This is a hybrid position that will work in the office 3 days a week and may work from home up to 2 days per week. This position will also provide onsite support at two annual conferences. This requires working longer hours and the ability to stand and walk for extended periods during events and move materials weighing up to 25 pounds. Travel to association events in Indiana is required, up to 7 days per year. Facilitation and set-up of in-person events may require arriving before 7 am or working until 6 p.m (3-4 times per year).
