Job Summary We are seeking a dynamic and energetic Special Events Director to lead the planning, coordination, and execution of exceptional events that elevate our the Early Learning Centers brand, raise money, and engage our community. In this pivotal role, you will oversee all aspects of event management, from conceptualization to post-event analysis, ensuring seamless experiences that delight guests and meet organizational goals. Your expertise in hospitality, event marketing, and team leadership will drive memorable occasions that foster lasting relationships and showcase our commitment to excellence. Duties Serve as the lead planner and project manager for all fundraising events and community engagement activities. Create event themes, concepts, and experiences that effectively communicate ELC's mission and fundraising objectives. Research and develop new fundraising and community engagement opportunities. Develop sponsorship packages and secure corporate and individual sponsorships. Develop comprehensive event strategies aligned with organizational objectives, including venue selection, theme development, and logistical planning. Manage all facets of event execution, including vendor negotiations, contract management, catering arrangements, and guest services to ensure flawless delivery. Solicit, secure, and manage auction donations and in-kind contributions. Oversee event budgets meticulously, tracking expenses and maximizing value through effective negotiation and upselling opportunities. Coordinate with marketing teams to promote events through targeted campaigns utilizing event marketing techniques and CRM systems for outreach and engagement. Lead a team of event volunteers, staff, and vendors, providing clear direction, training, and motivation to deliver exceptional guest experiences. Utilize event management software to streamline planning processes, monitor timelines, and ensure all details are addressed efficiently. Partner with OneCause and other event technology providers to ensure efficient registration, bidding, payment, and reporting processes. Conduct post-event evaluations to gather feedback, analyze success metrics, and implement improvements for future occasions. Produce monthly communications for parents and staff and quarterly communications for donors and supports. Create engaging content, graphics, and messaging for newsletters, email campaigns, and donor communications. Write, edit, and distribute press releases and media communications. Monitor media coverage and community engagement opportunities. Support donor cultivation, stewardship, and recognition efforts. Build and maintain positive relationships with sponsors, donors, volunteers, community partners, and stakeholders. Skills Proven expertise in event planning, management software proficiency, and project management principles to deliver successful events on time and within budget. Strong negotiation skills with a track record of securing favorable contracts with venues, vendors, and suppliers. Excellent communication skills for client interaction, team coordination, and stakeholder reporting. Ability to manage multiple projects simultaneously while maintaining attention to detail through effective time management. Extensive experience in hospitality or events management environments with a focus on guest services and customer satisfaction. Knowledge of budgeting techniques, upselling strategies, and managing event budgets for optimal financial outcomes.
