Provide support to the City Administrator, Department Heads, and employees, assisting in daily office duties and managing general administrative activities. Highly adaptable, bilingual, with extensive experience in office administration support and operations. Proven ability to manage complex projects, coordinate cross-functional teams, and build strong partnerships with community organizations and local agencies. Recognized for exceptional organizational, communications, and leadership skills, with a commitment to serving diverse communities while maintaining the highest level of professionalism and confidentiality.
Qualifications:
EXAMPLES OF WORK TO BE PERFORMED
High- level administrative support to executive leadership Calendar Management, scheduling, correspondence, and meeting coordination Manage multiple priorities and complex projects while meeting deadlines in fast-paced environments Coordinate training programs, workshops, staff development initiatives Build and maintain strong working relationships with local community agencies, business owners, and residents Plan, organize, seek sponsorships and host community outreach events and public engagement activities Assist with grant research, grant writing, and reporting requirements Deliver engaging PowerPoint presentations for executive meetings, training sessions, and community events Maintain efficient office operations while improving administrative procedures and workflow Demonstrate exceptional time management, multitasking, problem-solving, and leadership abilities Exercise sound judgement, discretion, and confidentiality when handling sensitive information Foster positive relationships with the local communities through strong interpersonal and communication skills. Design and develop promotional materials for events, including flyers and digital advertisements Project Coordination and Event Planning Public Speaking Initiative, integrity and good judgement. Answer multi-line phone system. Treat all employees, citizens and guests with respect and courtesy. Perform other duties as assigned.
REQUIRED EDUCATION, EXPERIENCE, KNOWLEDGE, SKILLS AND ABILITIES
Graduation from High School or GED equivalent Knowledge of basic computer skills Ability to create flyers using Microsoft Office, Adobe Creative Cloud, Canva, etc. Ability to maintain a schedule Knowledge of good customer relations practices. Skill in oral and written communication. Skill in handling multiple tasks and prioritizing. Skill in using computers and related software. Skill in planning and organizing. Skill in handling conflict and uncertain situations. Ability to work with frequent interruptions and changes in priorities. Ability to establish and maintain effective communication and working relationships with city employees and the public. Valid Texas class C driver s license.
DESIRED EDUCATION, TRAINING, AND EXPERIENCE
Minimum of one to two (2) years of office experience Ability to relay factual and accurate messages. Legible handwriting. Ability to operate various office equipment, i.e. copy machine, calculator, fax machine, etc. Computer proficiency to include Google Suites, Microsoft Word, Outlook, and Excel, Adobe, Canva, etc. Ability to maintain confidentiality. Ability to organize and prioritize assignments. Preferred bilingual
