Responsibilities Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly. Manage multi-line phone systems with excellent phone etiquette, directing calls efficiently to the appropriate departments or personnel. Handle all front desk duties including check-in/check-out procedures, scheduling appointments, and maintaining visitor logs. Perform clerical tasks such as data entry, filing, proofreading documents, and managing correspondence. Utilize office management software including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to organize schedules, prepare reports, and support daily operations. Maintain office supplies inventory and coordinate with vendors for procurement as needed. Support administrative functions such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar tools. Assist with customer support by addressing inquiries promptly and professionally via phone or email. Ensure accurate recordkeeping by organizing files systematically and maintaining confidentiality of sensitive information. Skills Proven experience in office management or administrative roles with strong clerical skills. Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills. Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Exceptional customer service abilities paired with professional phone etiquette and communication skills. Bilingual capabilities are highly desirable to serve diverse client needs effectively. Experience working with multi-line phone systems and handling front desk operations confidently. Knowledge of medical or dental receptionist duties is a plus; familiarity with bookkeeping using QuickBooks is advantageous. Personal assistant experience or calendar management expertise can enhance your contribution to team efficiency. Ability to proofread documents carefully while maintaining high accuracy standards.
