Duties Greet visitors, clients, and vendors with professionalism and warmth, ensuring they feel welcomed and attended to. Manage multi-line phone systems efficiently, directing calls accurately and courteously to the appropriate departments or personnel. Handle data entry tasks using productivity software such as Microsoft Office, spreadsheets, and word processing tools to maintain accurate records. Support office management functions including filing, calendar management, appointment scheduling, and document proofreading. Assist with client communication by providing excellent customer support and addressing inquiries promptly via phone or email. Maintain organized front desk operations by managing office supplies, filing systems, and ensuring cleanliness of the reception area. Utilize technical proficiency in computer literacy and office software to streamline administrative processes and improve overall productivity. Skills Proven experience in office management or administrative roles with strong clerical skills. Excellent customer service abilities combined with professional phone etiquette and communication skills. Bilingual capabilities are highly valued to serve diverse client needs effectively. Proficiency in Microsoft Office suite including Word, Excel (spreadsheets), and data entry tools; familiarity with QuickBooks is a plus. Strong organizational skills with the ability to multitask efficiently while managing time effectively. Technical proficiency in computer literacy, including familiarity with multi-line phone systems and office productivity software. Experience in personal assistant or front desk roles that demonstrate excellent organizational skills, calendar management, and client communication expertise.
