RV Resort Office Manager Water's Edge RV Resort 6800 Golf Course Boulevard, Punta Gorda, FL 33982 Up to $50,000 a year - Full-time Up to $50,000 a year - Full-time Position Summary The RV Resort Office Manager is responsible for managing the day-to-day administrative operations of the resort and serving as the primary point of contact for residents, guests, vendors, and contractors. This position oversees RV reservations, guest services, office administration, and maintenance coordination while supporting the Board of Directors, Bookkeeper, and Maintenance Staff to ensure efficient resort operations and excellent resident and guest experiences. The Office Manager works within established Board policies and procedures and plays a key role in maintaining organized records, effective communication, and a welcoming community environment. Essential Duties & Responsibilities Office Administration & Community Support Manage daily operations of the resort office. Serve as the first point of contact for residents, guests, vendors, and visitors. Respond to phone calls, emails, and inquiries in a professional and timely manner. Maintain accurate resident, owner, guest, and lot records. Prepare and distribute community notices, newsletters, and Board-approved communications. Distribute Board meeting agendas, minutes, and supporting documents as directed. Maintain official records, governing documents, policies, correspondence, and office files. Manage office supplies, equipment, inventory, and administrative procedures. Ensure records are organized, accurate, confidential, and easily accessible. RV Reservations & Guest Services Manage all RV reservations, registrations, cancellations, payments, and site assignments. Coordinate guest arrivals, departures, and check-in/check-out processes. Maintain reservation software, occupancy records, and guest information. Provide guests with information regarding resort amenities, rules, activities, and services. Address guest questions and concerns while providing exceptional customer service. Resident Services Provide a welcoming and professional experience for residents and seasonal guests. Assist new residents and guests with resort orientation and community information. Maintain updated resident and emergency contact information. Respond to routine questions and assist with community-related requests. Maintenance & Vendor Coordination Receive, document, and track maintenance requests. Coordinate work orders with Maintenance Staff and monitor completion status. Communicate updates to residents regarding maintenance requests. Coordinate vendor and contractor scheduling as approved by the Board. Maintain maintenance records and service documentation. Administrative & Financial Support (Financial responsibilities are limited; bookkeeping functions are managed separately.) Accept resident and guest payments. Prepare deposits according to established procedures. Submit invoices, receipts, and supporting documentation to the Bookkeeper. Assist with administrative tracking of operational expenses. Order office supplies and approved operational materials. Qualifications High school diploma or equivalent required Minimum of three (3) years of office administration, office management, hospitality, campground, RV resort, or property management experience. Experience working in an RV resort, campground, HOA, or hospitality environment preferred. Strong customer service and communication skills Excellent organizational skills with the ability to manage multiple priorities. Ability to work independently while collaborating with the Board of Directors, Bookkeeper, Maintenance Staff, residents, guests, vendors, and volunteers. Professional demeanor with the ability to handle confidential information. Strong attention to detail and problem-solving skills. Computer & Technology Skills Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams). Experience with RV resort, campground reservation management software (such as CampMaster, CampLife, or similar systems) preferred. Strong data entry and database management skills. Comfortable using email, cloud-based applications, scanners, printers, and general office technology.
