Months Position Summary/Purpose :
The Administrative Assistant / HR Generalist provides comprehensive administrative and human resources support to the Human Resources Department. This position serves as the first point of contact for employees while performing a broad range of HR generalist functions, including onboarding, benefits administration, assisting with leave coordination, and contract preparation. The role requires attention to detail, organization, efficiency, and customer-focused service delivery.
Annual Salary Rate Range:
$50,000-60,000/Yr . based on experience

  • serving as the primary point of contact for the Human Resources Department by answering incoming phone calls, responding to emails, and managing the HR inbox.
Participate in the admin office rotation for answering District calls and the door for deliveries and guests. Coordinate incoming and outgoing mail and assist with general correspondence. Talent Acquisition & Onboarding Coordinate onboarding for all staff and substitutes, including those employed through third-party agencies. Facilitate intake meetings and ensure accurate data into HRIS and platforms such as Skyward, Frontline, etc.. Manage the job posting process by posting openings, ensuring timely and accurate listings. Complete pre-employment requirements, including FBI, State Police, DCFS, & employment verification. Contract Management Prepare and teacher contracts for the Board of Education, ensuring accurate salary and credential verification. Communicate staffing updates and changes to support monthly Board of Education reporting. Create and issue employee ID badges, including photos and coordinating access with the Technology Department. Benefits Administration Support the employee benefits, including enrollments, life event changes, and COBRA. Generate and distribute monthly dependent eligibility (maximum age) reports. Assist with Affordable Care Act (ACA) audits and annual Open Enrollment processes. Serve as a point of contact for employee benefit inquiries and escalate as appropriate. Leaves & Claims Management Assist the Manager and Director with Family and Medical Leave Act (FMLA) Serve as the primary liaison for workers' compensation cases. Coordinate claim processing and documentation with third-party administrators. Use established absence systems & follow up on absences in accordance w/ District policies. HR Operational Support Support the execution of New Teacher Orientation and 1st and 2nd-year teacher professional development meetings

Complete employment verifications and prepare verification letters upon request. Assist with employee recognition programs, including event coordination and logistics. Maintain confidential personnel records and ensure compliance with all laws and regulations. Perform other duties as assigned by the Director of Human Resources. Qualifications Education and Experience An equivalent combination of education and relevant professional experience that demonstrates the knowledge, skills, and abilities necessary to perform the position will be considered. Multiple years of administrative assistant, human resources, or closely related experience. Knowledge, Skills, and Abilities Strong understanding of human resources principles, practices, and applicable employment laws. Excellent customer service and interpersonal skills with the ability to interact effectively with diverse stakeholders. Exceptional organizational skills and attention to detail. Ability to manage multiple priorities in a fast-paced environment. Strong written and verbal communication skills. Ability to maintain strict confidentiality and handle sensitive information with discretion. Proficiency in Microsoft Office and Google Workspace. Bilingual skills are highly valued. Preferred Skills As a multi-language district, we always prefer staff who are bilingual but it is not required for this position. Knowledge of HR functions such as onboarding, benefits administration, and workers' compensation. Experience with HRIS and applicant tracking systems such as Skyward and Frontline preferred. Working Conditions Work is performed primarily in an office environment with interaction with employees, applicants, and visitors.
