Offer administrative support to the Deputy Directors of Personnel by: Managing calendars. Organizing meetings. Making travel arrangments. Other responsibilities as requested. Produce, maintain, and distribute regular personnel reports. Update and maintain personnel department handbooks and policies. Maintain compliance and updates for policies, trainings, and background checks for all workers. Handle daily phone calls, emails, and communication for personnel department and leadership. Draft documents, letters and agreements as requested and maintain logs of ongoing agreements. Maintain office supplies for the personnel department.For Human Resources:
Coordinate all new hire onboarding activities. Collect and process required employment documentation.Ensure completion of:
Form I-9 and employment eligibility verification. Federal and North Carolina tax forms. Background check authorizations Employee acknowledgments and handbook signoffs. Maintain new hire checklists and onboarding records. Work with HR Director on setting up orientations. Assist with employee offboarding processes as requested. Maintain personnel records and documentation. Help ensure employee policy documentation compliance and compliance with federal and NC employment laws. Other administrative responsibilities for Personnel team as assigned. Work Experience Requirements Fully competent in MS Office suite, including Teams, as well as competent in Zoom meetings 2+ years administrative experience required. Human Resources administrative experience preferred. Ability to organize a daily workload by priorities Must be able to meet deadlines in a fast-paced quickly changing environment Professional discretion Ability to maintain confidentiality Must be flexible and detail oriented Must have a friendly and pleasant demeanor A proactive approach to problem-solving with strong decision-making skills Professional level verbal and written communications skills Education Requirements Five years of office administration experience or college degree with business emphasis Training Expectations Child Safety Training Security Training Parameters for Success (key measures) Ability to think strategically, operate both globally and specifically, and execute developed strategies Strong self-management and staff management skills.
