A Human Resources Administrative Assistant supports an organization or company's HR department by performing personnel-related administrative tasks. Maintains HR records by entering new hires, transfers, terminations, employee changes, salary increases. Assists employees with benefit information and new employee setup. Schedules and tracks weekly overtime and internal staff events.
The Medication Station is a successful, locally owned Oregon cannabis retailer seeking an experienced, trustworthy HR & Bookkeeping Administrator to support our Newport and Cottage Grove locations. This is an important position for someone who enjoys creating organization, helping managers handle employee matters fairly, and keeping financial records accurate. The ideal candidate is calm, professional, highly confidential and comfortable working directly with company ownership. This position will begin at approximately 15 hours per week, primarily onsite at our Newport office. Some flexibility in scheduling may be available.
KEY RESPONSIBILITIES
Human Resources Maintain confidential personnel files and employee documentation Help management apply attendance, call-off and workplace policies consistently Review coaching documents, written warnings and performance improvement plans Assist with employee concerns, workplace investigations and difficult conversations Track employee leave, sick time, wage changes and required documentation Support recruiting, interviewing, hiring and onboarding Help maintain compliant Oregon employment policies and an updated employee handbook Provide practical, neutral guidance to ownership and store management Bookkeeping and Administration Maintain accurate records in QuickBooks Online Assist with accounts payable, invoice entry and vendor records Reconcile bank, credit card and other financial accounts Review deposits, expenses and supporting documentation Assist with payroll preparation and payroll recordkeeping Organize records for the company's CPA, tax professionals and ownership Prepare clear financial and administrative reports Identify discrepancies and follow through until they are resolved
QUALIFICATIONS
At least three years of bookkeeping, accounting or office-management experience Practical experience handling HR or employee-relations responsibilities Strong working knowledge of QuickBooks Online Understanding of payroll, account reconciliation and confidential recordkeeping Familiarity with Oregon employment practices is strongly preferred Excellent judgment, communication and problem-solving skills Ability to remain neutral and professional during sensitive situations Exceptional attention to detail and follow-through Cannabis-industry experience is helpful but not required This position reports directly to company ownership and works collaboratively with our general manager, store managers, CPA and other professional advisors.
