Duties Description The Office Assistant 1 (OA1) will work in the Office of Human Resource Management functioning as the receptionist and providing clerical and data entry support to 4-5 Human Resources Specialists. This position requires strong communication and computer skills, proficiency with Microsoft Word and Excel preferred. The OA1 must have the ability to function with minimal supervision. This position requires organization and attention to detail. Duties include, but are not limited to:
  • Answering phones and directing calls
  • Receiving a high volume of e-mails and sending appropriate replies
  • Utilizing and maintenance of various tracking spreadsheets as needed
  • Filing
  • Scanning documents
  • Reviewing on a daily basis the shared OHRM mailboxes and printing out responses, placing in posting files
  • Handling all aspects of the mail; Certified and daily mail
  • Obtain additional documentation or follow-up as needed.
  • Updating vacancy spreadsheet with postings
  • Preparation of onboarding packets and candidate folders.
  • Separate Onboarding packets file and disseminate forms as needed
  • Creating all the folders for the personal history file.
  • Scheduling interviews.
  • Book conference rooms for open interviews and arrange interview panel
  • Send out Recruitment email to TAC ALL with dates
  • Responsible for correspondence regarding interview scheduling, interview results and candidate status.
  • Assist with various projects as needed.
  • Front door coverage as needed.
  • Other duties as assigned.

Additional comments regarding the vacancy. Additional Comments This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). HELPS Program titles may be filled via a non-competitive appointment. This means that you do not need to take an exam to qualify, but you do need to meet the minimum qualifications of the title. At a future date (within one year of permanent appointment), employees hired under
NY HELPS
are expected to have their permanent non-competitive employment status converted to permanent competitive status. You will not have to take an exam to gain permanent competitive status.
  • Please note that starting salary for this title reflects the Mid-Hudson adjustment. Posted Hiring Salary includes the sum of the statutory hiring rate for CSEA Grade 6 ($36,232) and Mid-Hudson adjustment ($2,000). Mid-Hudson adjustment is added to the job rate ($44,828).
  • If you are currently a New York State employee serving in a permanent competitive qualifying title and eligible for a transfer via Section 70.1 of the Civil Service Law, you may be appointed to this title as a permanent competitive employee.
  • For CSEA positions: Local Bidding Agreements will be honored.

Paid Holidays and Leave:
