About CSI Aviation Founded in 1979, CSI Aviation is a worldwide aviation services company and FAA Part 135 air carrier. We provide on-demand passenger, medical, and cargo charter flights 24/7/365. Our team includes experienced former military pilots and aviation professionals, and we're looking for a senior leader to strengthen the administrative foundation that supports them. Job Summary The Vice President of Administration leads CSI's Administration Department, supporting a fast-growing air carrier and healthcare services provider with international operations. This role oversees human resources, facilities, ground vehicle fleet, and business support services. It designs and carries out plans that keep these functions aligned with operational needs as well as FAA, DOT, and employment law requirements. The Vice President of Administration maintains awareness of government, commercial, and market changes that could affect administrative operations and provides support to address, mitigate, or capitalize on such factors as appropriate. Responsibilities Lead CSI's HR, facilities, and business support functions, and serve as the administrative link between these functions and CSI's operating departments nationwide. Develop and manage the administrative budget and set departmental goals. Develop, maintain, and consistently apply HR and administrative policies and procedures. Oversee the full employment life cycle for a multi-state workforce of pilots, medical care providers, dispatchers, and support staff. This covers recruiting, hiring, onboarding, performance evaluations, transfers, promotions, leave, and separations. Meet talent acquisition goals and maintain required staffing levels at all locations. Oversee employment eligibility (Form I-9 and E-Verify), employment verification, and background investigations. Oversee compensation and benefit plans, including health, dental, vision, retirement, and deferred compensation, and ensure employees get accurate benefits information. Coordinate payroll and maintain required payroll records, notices, and postings. Maintain complete, current, and secure personnel files. Ensure compliance with federal and state employment laws, including: EEO and wage-and-hour laws leave requirements federal contractor obligations under OFCCP, including affirmative action, VEVRAA, and Section 503 Service Contract Labor Standards, including classification, wage determinations, fringe benefits, and recordkeeping Track and report workforce metrics by location, department, and job classification, and forecast staffing needs as operations grow. Maintain year-round readiness for internal and external audits and manage audit responses. Oversee CSI facilities nationwide, including security, maintenance, repairs, permits, and operating certifications, and ensure they meet environmental, health, safety, and security standards. Maintain emergency preparedness and business continuity plans. Manage facility vendors and services, including janitorial, maintenance, waste, utilities, alarm, and security. Oversee ground vehicle fleet administration, including maintenance, operations, and expense tracking. Provide timely support services to operations, including supplies, office equipment, shipping and receiving, vendor accounts, phone coverage, access control, and badging. Manage CSI's insurance portfolio, ensuring continuous coverage and overseeing brokers, renewals, and claims. Oversee marketing and communications, including external communications, company publications, and social media. Qualifications Bachelor's degree in business administration, human resources, aviation management, healthcare administration, or a related field. Master of Business Administration preferred. Minimum of ten years working in administration, human resources, facilities, or business support with five years' experience in a senior leadership role. HR management for a multi-state workforce, including working knowledge of federal and state employment law. Experience in aviation, a Part 135 or 121 operation, or another FAA/DOT-regulated industry strongly preferred. Working knowledge of DOT drug and alcohol testing regulations.
