Job Description
Human Resources Administrator Department:
Human Resources Position Summary The Human Resources Administrator provides operational and administrative support for the Human Resources department while ensuring compliance with company policies, employment laws, and union requirements. This position coordinates onboarding, recruiting support, personnel records, HR systems, compliance documentation, benefits administration, payroll support, and employee service across multiple states. The HR Administrator should have union and multi state experience. The HR Administrator will be working with local unions to fill manpower requests. This position will report to the Business Compliance Manager but will work directly with the HR Manager. Cross training will be provided as assistance in other departments may be needed from time to time. Employee Onboarding- Coordinate pre-employment activities.
- Prepare offer letters and new hire paperwork.
- Complete I-9 verification and employment documentation.
- Process E-Verify (if applicable).
- Schedule orientation.
- Order company apparel, PPE, and technology.
- Coordinate introductions with department managers.
- Maintain onboarding checklists. Recruiting Support
- Post job advertisements.
- Monitor applicant tracking system.
- Schedule interviews.
- Coordinate candidate communications.
- Conduct reference checks.
- Maintain recruiting reports.
- Coordinate background screenings and drug testing. Personnel Records
- Maintain confidential personnel files.
- Process employee status changes.
- Track licenses, certifications, and training.
- Maintain organizational charts.
- Process employment verifications.
- Archive HR records. Benefits Administration
- Coordinate benefit enrollments.
- Process qualifying life events.
- Prepare COBRA paperwork.
- Assist employees with benefit questions.
- Maintain benefit records.
- Coordinate annual open enrollment. Payroll & Timekeeping Support
- Process employee status changes.
- Track PTO balances.
- Monitor sick leave accruals.
- Assist payroll with HR-related updates.
- Audit employee information prior to payroll. Compliance
- Maintain I-9 compliance.
- Track mandatory training.
- Prepare personnel file audits.
- Maintain federal and state labor postings.
- Assist with multi-state compliance documentation.
- Support workers' compensation documentation.
- Maintain OSHA and safety acknowledgement records. Administrative Support
- Maintain HR calendars.
- Order office supplies.
- Prepare HR reports.
- Update HR dashboards.
- Process invoices.
- Assist with special HR projects.
- Schedule meetings and training.
- Assist with company events. Qualifications
- 2-4 years of HR experience.
- Strong Microsoft Office skills.
- Strong DocuSign Skills
- Excellent written and verbal communication.
- High attention to detail.
- Ability to maintain confidentiality.
- Excellent organizational skills.
- Ability to manage multiple priorities.
- Construction, multi-state, or union experience preferred.
