Job Description

Staffing & Scheduling Administrator Full-Time | $45,000-$55,000 Annually | On-Site We are seeking an experienced Staffing & Scheduling Administrator to join a service-focused office supporting clients and caregivers in the Santa Fe area. This is a key role for someone who enjoys keeping things organized, solving problems and helping people. You will serve as a primary point of contact for both clients and caregivers while managing schedules, responding to staffing changes and helping ensure consistent, reliable service. The ideal candidate is highly organized, responsive and comfortable managing multiple priorities throughout the day. Home care or healthcare scheduling experience is strongly preferred. Responsibilities Coordinate caregiver schedules by matching qualifications, availability and client needs Maintain scheduling consistency while minimizing overtime, open shifts and cancellations Communicate assignments, schedule details and changes to caregivers, clients and staff Respond quickly to callouts, cancellations and last-minute scheduling changes Document scheduling activity, phone calls, communications and follow-up Maintain accurate caregiver availability, qualifications and scheduling information Regularly follow up with caregivers to support scheduling consistency and retention Help ensure caregivers follow established company policies and procedures Professionally address client and caregiver concerns and assist with resolving issues Build positive working relationships with clients, caregivers and internal team members Manage phone and electronic communications efficiently Assist with interviewing and onboarding new caregivers as needed Participate in an on-call rotation as assigned Perform other reasonable related duties as needed Minimum Qualifications High school diploma or GED Previous staffing, scheduling or management experience Home care or healthcare scheduling experience preferred Experience with Microsoft Office Strong technical aptitude and ability to learn business software platforms Who We're Looking For Highly organized with strong attention to detail Comfortable multitasking and shifting priorities throughout the day Calm and professional in stressful or time-sensitive situations Responsive and willing to take ownership of scheduling issues Strong problem-solving skills with the ability to balance competing priorities Professional and personable when communicating with clients and staff Dependable, patient and service-minded Able to maintain confidentiality and comply with HIPAA requirements
